Reports To: Intake Lead, Supervisor, or Manager Position Overview We are a fast-paced personal injury plaintiff law firm seeking a detail-oriented, empathetic, and driven bilingual (Spanish) Intake Specialist to be the first point of contact for potential clients. The Intake Specialist plays a critical role in our client experience—screening and qualifying leads, gathering essential case information, and ensuring smooth onboarding into our legal process. The ideal candidate will have excellent communication skills, the ability to handle sensitive and confidential information, and a strong customer service mindset. Prior legal, medical, or client intake experience is preferred, but not required. Key Responsibilities Serve as the first point of contact for potential clients via phone, email, online inquiries, and walk-ins. Gather detailed information regarding prospective clients’ accident, injury, or loss, following firm protocols and intake scripts. Assess case viability and determine whether the firm can move forward with representation, in consultation with attorneys. Explain the firm’s services, fee agreements, and onboarding process in a clear and compassionate manner. Schedule follow-up calls, meetings, or sign-up appointments for attorneys. Accurately input and maintain contact, case, and referral information in the firm’s case management system. Ensure prompt follow-up with leads and maintain a high conversion rate from inquiry to retained client. Handle high call volumes while maintaining professionalism, empathy, and confidentiality. Communicate with medical providers, insurance representatives, or referring attorneys as needed. Collaborate with attorneys, case managers, and administrative staff to ensure smooth client transitions. Meet or exceed performance metrics including response time, lead conversion, and case quality assessments. Other related duties as assigned. Qualifications Education: High school diploma or equivalent (Associate’s or Bachelor’s degree preferred). Experience: Prior intake, legal assistant, customer service, medical office, or call center experience preferred; personal injury law experience is a plus. Strong verbal and written communication skills. Ability to multitask in a fast-paced environment and meet deadlines. Empathy, patience, and professionalism when interacting with individuals in distress. Proficient in Microsoft Office Suite and comfortable learning legal case management software.
