Position Summary
The Inventory Control Specialist reports to the Operations Analytics & Inventory Manager and will play a key role in increasing company profitability and team efficiencies by identifying, implementing, and carrying out processes that ensure accurate inventory levels and ERP system data.
The position is responsible for inventory-related SOPs, training staff to improve efficiency of operations, monitoring inventory transactions to identify system weaknesses, and ensuring physical and ERP system transactions occur in a timely and accurate manner. Their work supports controls to accurately capture work order, material handling and inventory adjustment activities.
This team member will conduct ongoing audits of inventory control performance to evaluate status of inventory control systems. This role will also be responsible for creating and maintaining Item and BOM (Bill of Material) details in the ERP system.
The Inventory Control Specialist is responsible for the maintenance of the companys inventory accuracy and oversight of inventory control processes. The role will help in the continued development of cross functional teams knowledge of processes by creating and updating SOPs and Work Instructions. These directly contribute to the success of the Operations Inventory Accuracy and Cycle Count KPIs.

Responsibilities
Inventory Process Support and Ownership
- Schedule daily cycle count activities for both Finished Goods (FG) and Raw Materials (RM) categories
- Perform inventory reconciliation: analyze, interpret, evaluate cycle count results and reconcile discrepancies
- Review current Inventory Control Processes and make recommendations to improve existing Work Instructions and SOPs
- Schedule and lead staff training on SOP updates and periodic training on existing SOPs
- Monitor and transact (when needed) inventory transfers for inventory accuracy. Resolve and communicate issues between the Warehouse Teams
- Monitor/assess 3PL and Co Manufacturing inventory movements to maintain accuracy. Communicates discrepancies to business partners
- Partner with the Quality Department to support various Inventory Statuses such as Micro-Hold, Rejected, QC Hold, OTC and Organic materials
- Perform audits of the warehouses to ensure Inventory Control initiatives are being followed. Communicate results to the management team
- Perform regular, scheduled audits of outbound builds prior to shipment to assess accuracy. Identify & correct errors. Follow up with the team to address related performance & training gaps
- Ensure continuous inventory flow by actively managing Discontinued and Rejected Inventory. This includes providing cross functional teams status report updates and managing write-offs within an established adjustment budget.
- Maintain cross departmental communication on inventory status
- Coordinate communication with Accounting, Purchasing, Compliance, Quality Control, Customer Service, Warehouse Management and other impacted areas within the company to support company strategies and objectives concerning inventory policies, procedures and accuracies
- Enforce first in/first out rules (FIFO) related to Sales Order Fulfillment and Raw Material usage thru auditing aging inventory . Provide report or training opportunities to Department Managers.
- Establish partnerships with cross functional teams by building good working relationships. Clearly establish guidelines for feedback and continuous improvement
- Monitor RM expiration dates and actively communicate upcoming expiration with MFG, QC and R&D for mitigation opportunities
- Update and monitor OTC product expiration dates and actively communicate upcoming stop-ship windows to Distribution and Sales Departments
- Partner with Quality Team on identification of expired and/or rejected FGs and RMs to ensure proper quarantine
- Create new RM, FG and BOM records in Netsuite and manage revisions of existing records
- Monitor and provide guidance on Distributor and Small Pack Returns to ensure proper disposition of inventory
Training
- Be the subject expert for Inventory Control Processes in Netsuite/WMS to provide support and guidance to cross functional departments
- Partner with Netsuite Administrator to perform user testing on new functions within the Warehouse Management System (WMS) and ERP (Netsuite) environment
- Write and update SOP and Work Instructions for new Inventory Control Processes
- Provide training to cross functional teams in Inventory Control Processes which includes writing or revising Work Instructions when needed
Analysis
- Perform daily inventory reconciliation of daily cycle counts and transact results in NetSuite within 24 hours
- Perform root cause analysis on inventory discrepancies by interacting with team members from all related departments. Initiate recounts as needed and provide root cause feedback. Assign owners and monitor progress to trace improvement.
- Provide month end reporting on inventory activity and communicate results to the management team
Other
- Support a safe working environment by reporting any unsafe conditions or observed, unsafe conduct.
- Assist Operations Analytics & Inventory Manager in annual physical inventory reconciliations and project management
- Process Manufacturing and Production Work Orders if needed
- Support traceback activities related to audits, inspections and certifications
- Update various inventory control reports and presentation documents per guidance issued by manager
- Additional work assignments as directed by the manager
Skills/Qualifications
- Knowledge of inventory management mathematics
- Ability to build and maintain strong partner and business relationships
- Conflict resolution and problem-solving skills with inventory reconciliation
- Bi-lingual in Spanish is a plus
- Excellent oral and written communication skills
- Self-Starter, ability to problem solve and work independently with minimal supervision
- Excellent interpersonal skills and ability to interact with people at all levels
- Ability to operate office equipment
Education and Experience:
- 3 to 5 years of inventory control experience in a manufacturing environment or equivalent experience required
- 3+ years of hands-on experience with inventory reconciliation, including data interpretation/analysis across multiple channels preferred
- 1+ years of direct work experience in a 3PL and Co Manufacturing environment preferred
- Intermediate to advanced knowledge of Excel, Word and ERP Systems preferred

This job operates on a production floor or warehouse environment. The employee frequently works near moving mechanical parts and is occasionally exposed to wet and/or humid conditions, ambient air, temperature extremes, fumes or airborne particles, traffic, toxic or caustic chemicals, risk of electrical shock, and vibration. The noise level in the work environment is usually moderate, but occasionally high.
