Job Summary

The Jr. Payroll Coordinator will be responsible for the day-to-day administration of the payroll help desk, which will include answering the payroll phone line, resetting employee HR/CMS passwords, responding to payroll inquires; providing direction on using the timekeeping system; analyzing and reporting employee related payroll detail such as leave balances, incomplete/unapproved timecards, employee tax withholdings, direct deposit, etc. Additionally, this role will be responsible for the fulfillment of current and prior employee W-2 requests as well as the review and correction of incorrect payroll.

Duties & Responsibilities

  • Oversee the day-to-day administration of the payroll help desk.
  • Answer payroll related questions, manage discrepancies, handle leave allocations, and stay updated with legislative and union contract changes.
  • Collate payroll information and files as needed while ensuring information is accurate and complete.
  • Perform cross-checks to identify employee payment errors; develop a root-cause analysis to help rectify issues and ensure they dont happen again.
  • Respond to customer, vendor, and co-worker inquiries in a courteous and professional manner consistent with the Authority's customer service quality standard.
  • Review, reconcile and distribute employee pay slips and statements.
  • Monitor payroll calculations and payments to ensure compliance with relevant legislation, bargaining agreements and company policy and update processes accordingly.
  • Assist employees with securely updating tax withholdings, direct deposit information and HR/CMS log in credentials.
  • Fulfill past and present employee pay statement, W-2, W-2C and payroll reversal requests.
  • Provide direction as needed to employees and managers utilizing HR/CMS
  • Research documents for supervisors, managers, and employees alike, to clarify payroll processed and assist in correcting errors when needed.
  • Compile, analyze and conduct the following data within 24 48 hours: upload personal days for eligible employees, email daily reports to various areas regarding high exceptions, follow up on missed/invalid punches and unreported/unapproved time.
  • Perform related duties and projects as assigned in an accurate and timely manner.

Minimum Requirements & Qualifications

  • A high school diploma or equivalent (G.E.D.)
  • One (1) year experience in payroll administration
  • Strong educational background and technical competencies, including proficiency in various Payroll & HRIS software systems and programs.
  • Some knowledge and computation of statutory payroll tax law
  • Effective organizational, technical, analytical, multi-tasking and interpersonal skills.
  • Ability to plan, prioritize and balance responsibilities.
  • Understand mathematics principles and operate with the utmost discretion.
  • Familiarity with Microsoft Word, Excel, Access, and Oracle Database applications
  • Ability to communicate effectively and efficiently with all levels of employees within the organization, including active listening.

Substitutions Include

  • A nationally recognized certification, or statewide/professional certification in a related field substitutes for one year of experience

Preferred Experience and Skills
  • Payroll Compliance Practitioner designation (PCP)
  • Familiarity with PeopleSoft HRIS/Payroll
  • Degree in Business, Accounting, or related field
