Litigation Paralegal – Probate, Trust and Guardianship Litigation

Kitroser Lewis & Mighdoll is a boutique law firm serving Palm Beach and Martin County with a focused practice in Estate Planning, Estate and Trust Administration, Guardianship Administration, Guardianship Litigation, Estate and Trust Litigation.
Our litigation team handles high-stake matters involving will contests, trust disputes, fiduciary litigation, elder exploitation claims, and emergency guardianship and injunction proceedings. We regularly appear in the Palm Beach County Probate Division representing fiduciaries, beneficiaries, and families in complex matters that often require urgent action and strategic thinking and meticulous litigation management and execution.
Position Overview:
Kitroser Lewis & Mighdoll is seeking an experienced Litigation Paralegal to support attorneys in probate and guardianship litigation matters, including time-sensitive and emergent proceedings primarily in Palm Beach County.
This position plays a critical role in supporting the litigation team through case administration, document preparation, court filings, discovery coordination and consistent client communication. The ideal candidate is highly organized, proactive, and comfortable working in a fast-paced litigation environment where attention to detail, strong judgement and clear communication are essential.
This is a full-time, in-person position based in North Palm Beach, Florida.

Key Responsibilities:
Case Administration and Client Support:
• Provide professional, responsive, and compassionate support to clients throughout the litigation process.
• Serve as a point of contact for clients regarding scheduling, document requests, and procedural questions as directed by attorneys.
• Assist with new matter intake procedures, including gathering client and opposing party information and conducting preliminary conflict checks in accordance with firm policies.
• Collaborate with team in case strategy, drafting of pleadings and overall management of the caseload.
• Monitor case progress and assist team in managing deadlines, court requirements, and overall case workflow.
• Manage email correspondence, task tracking, and contact information using Outlook and firm systems such as Clio, NetDocuments, and Asana.
• Maintain organized electronic and physical case files in accordance with firm policies and procedures.
Litigation Document Preparation and Court Filings:
• Prepare initial drafts of pleadings, motions, notices, subpoenas, correspondence, and other litigation documents based on attorney instruction or needs of the team.
• Draft documents from handwritten notes, annotated copies, or attorney discussions.
• Proof-read documents for grammar, formatting, citation accuracy, and compliance with court rules.
• Prepare tables of contents, exhibits, and appendices as required.
• Ensure compliance with the Florida Rules of Civil Procedure, Florida Probate Rules, Judges divisional instructions and applicable local court requirements.
Court and Case Support Services:
•\tRequest and manage court transcripts, certified copies, and other official records.
•\tConduct litigation-related searches, including court records and entity searches when necessary.
•\tAssist with emergency filings such as petitions for emergency temporary guardianship.
•\tEnsure timely service of subpoenas, particularly for emergency hearings.
Timekeeping and Billing Support:
•\tEnter daily billable and non-billable time entries in Clio with clear narrative descriptions.
•\tRecord and code case-related expenses in accordance with firm billing standards.
•\tAssist with billing review, pre-bill edits, and invoice approvals.
•\tSupport compliance with firm billing policies and client engagement terms.
Qualifications:
•\tProficiency in drafting pleadings, motions, discovery, and litigation documents.
•\tStrong familiarity with the Florida Rules of Civil Procedure, the Florida Rules of Probate, and the Florida Rules of Judicial Administration is preferred.
•\tAbility to manage multiple active litigation matters simultaneously.
•\tExceptional organizational skills and attention to detail.
•\tStrong written and verbal communication skills.
•\tExperience with probate, guardianship, or fiduciary litigation is highly desirable.
•\tA minimum of 5 years of paralegal litigation experience, preferably in Palm Beach County, Florida
•\tExperience with practice management systems, document management systems, and e-discovery software (e.g, Clio, NetDocuments, ShareFile, etc).
•\tParalegal certification through the National Association of Legal Assistants (NALA) or a 2- or 4-year degree in paralegal studies preferred.
•\tFlorida Notary preferred or willingness to obtain within reasonable timeframe.
