Work Hours: Monday Friday, 8:00 AM 5:00 PM

GENERAL FUNCTION

Organizes, coordinates, and implements office process and procedures to ensure organizational effectiveness and efficiency. Supports print device and mail services, office and supply inventory management, conference room/AV support, and general office administration. This is a hands-on, physically active role requiring experience in mailroom operations, shipping/receiving, and logistics coordination.

The ideal candidate is an energetic, detail-oriented professional who can wear multiple hats, is well organized, and enjoys the administrative and operational challenges of supporting a diverse office environment.

MAJOR DUTIES AND RESPONSIBILITIES

PRINT DEVICE & MAIL / SHIPPING & RECEIVING SERVICES

Print Device

  • Deliver paper for office equipment such as printers, copiers, and fax machines.
  • Act as the first responder for printer issues and escalate to tech services when needed.
  • Ensure proper maintenance and usage of all equipment and supplies.

Mail / Shipping & Receiving

  • Process all outgoing USPS and FedEx packages (business use only).
  • Verify, sign, and record all incoming/outgoing accountable mail (FedEx, DHL, UPS, Express, Registered, Certified, Insured, Custom Design Mail).
  • Sort and deliver incoming U.S. Postal Service mail to departments.
  • Deliver and obtain signatures for all accountable mail pieces.
  • Handle rush pick-up/delivery requests for internal and outgoing correspondence.
  • Maintain and provide specialized mailing forms (Express, Registered, Certified, Insured).
  • Coordinate with external vendors (FedEx, DHL, USPS, UPS, Couriers, Neopost, Staples, Iron Mountain) to maintain mail center operations.
  • Update vendor address lists to improve delivery accuracy.

CONFERENCE CENTER SUPPORT

  • Coordinate audio-visual equipment and prepare facilities for meetings (Skype, WebEx, teleconference, VTC).
  • Ensure proper maintenance and usage of AV equipment and supplies.
  • Prepare coffee and snacks for meetings as requested.

PRIORITY FOCUS RESPONSIBILITIES

  • Receive and sort packages by department (600 900 packages daily).
  • Receive mail, open and determine recipient if not defined.
  • Manage mail tracking software and update records.
  • Perform post office runs when required.
  • Monitor campus print devices and submit paper/supply orders.
  • Act as first point of contact for Tier 1 printer issues; escalate Tier 2 service calls.
  • Monitor and replenish office supplies, toner, and paper stock.
  • Coordinate large conference room schedules.
  • Assist with campus services, including fitness center, coffee stations, and micro-markets.
  • Report facility or equipment issues to the Facility Manager.

REQUIREMENTS

  • MUST HAVE prior Mailroom experience - resumes without it will be declined.
  • Physically capable of lifting up to 25 lbs and standing for long periods.
  • Experience handling high-volume mail and package distribution (600 900 daily).
  • Strong organizational and time management skills.
  • Proficiency with mail tracking systems, vendor coordination, and shipping software.
  • Basic computer and MS Office knowledge.
  • Ability to work independently, manage multiple priorities, and maintain a high level of accuracy.
  • Strong communication and teamwork skills.
  • Must pass background check and 5-panel drug screening.

PREFERRED QUALIFICATIONS

  • Experience in corporate facilities, logistics, or shipping and receiving roles.
  • Familiarity with office supply and inventory management systems.
  • Experience using Neopost, FedEx Ship Manager, or similar mailing tools.
  • Prior exposure to conference room and AV support functions.
