We are seeking an experienced Administrative Assistant to join our Marketing Team! The Marketing Administrative Assistant will provide high-level administrative support to the Marketing Team via a variety of administrative tasks in the utmost professional and discrete manner. Individual will work in a fast-paced environment and be required to multi-task and prioritize. Administrative Assistant will conduct research, prepare reports, handle information requests, and perform administrative functions such as preparing correspondence, meeting coordination, calendar management and special projects as assigned. DUTIES & RESPONSIBILITIES: Answer phone calls and assist Agency Producers with requests or direct callers to the proper department. Conduct research, compile data, and prepare papers for consideration and presentation by executives and committees. Attend meetings and record minutes. Compile, transcribe, and distribute minutes of meetings. Outlook calendar management. Prepare reports, memos, letters, and other documents, using Microsoft Office. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their action or distribution. Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures. Track production and appoint agency and producer's to NIPR. Quality check new business applications to confirm writing producer has been properly appointed to NIPR. Onboard agencies and train producers in using our systems. Other duties as assigned. Knowledge, Skills and Abilities: Required: 2-4 years administrative experience Strong Proficiency with Outlook and Microsoft Office-Word, Excel and PowerPoint Strong interpersonal skills Exceptional oral and written communication skills Ability to work independently on multiple tasks.
