Fox Valley Plastic Surgery S.C. has performed cosmetic and reconstructive surgery for over years, and has served over 35,000 patients in Wisconsin alone. With offices located in both Oshkosh as well as Appleton, FVPS in combination to performing plastic surgery and other Lifestyle Therapies, also offers a variety of other different types of services in our Vein Institute, Laser Institute, and MediSpa.

Job Description

FVPS is currently searching for a full-time receptionist to be utilized in both its Oshkosh and Appleton offices. We are firm believers in cross training and would prefer to maintain the multi-effectiveness of our employees. Therefore, employees are expected to mainly work in our Oshkosh location, however required to work in the Appleton location at least once a week in order to maintain the level of customer service that our patients have come to expect.

Patient Relations Specialist is highly visible position, so the ideal candidate would have a professional appearance in combination with an outgoing and highly approachable personality.

Our ideal candidate would have excellent time management skills, be team oriented, able to multi-task in an extremely fast paced and high-demanding environment, all while maintaining a positive and friendly demeanor. As an employee of multiple entities with over 10 different providers that each have a variety of different kinds of appointment types and treatments, this position requires someone who is able to learn quickly as well as adapt to a constantly changing atmosphere and its needs.

Qualified applicants would be required to have excellent customer service skills, prior experience with computers, and previous medical scheduling experience and knowledge of medical terminology would be highly beneficial. There are lots of medical procedures to learn, so we need someone with self-motivation in this fast-paced environment.

Workdays usually begin at 7:30AM - 8:00 AM, and can end at 4:00 PM - 6:30 PM depending on the day of the week and needs of the office. We are not currently open on the weekends.

General duties include answering phone calls, making appointments, checking in and checking out patients, inputting/updating data medical documents, as well as retail invoicing for services and product purchases in our Medi-spa. As a patient relations specialist it is your responsibility to be engaged in patient care, dedicated to the effective functioning of the medical facility, and adaptable to changes in the facility protocol or physician needs, as well as policies or processes of the office.

The essential functions are:

  • Answering phones, scheduling patients, and responding to inquiries.
  • Greeting and checking in and out patients, and inputting/updating patient paperwork.
  • Explaining procedures and products to patients.
  • Checking out patients, processing sales, and making appointments.
  • Scanning patient charts into an EMR.
  • Assisting the clinical staff when necessary.

Minimum Qualifications

  • High School graduate or better.
  • Requires minimum of 2 years of experience in customer service.
  • Strong keyboarding skills with knowledge of Microsoft Word and Outlook.
  • Knowledge of PatientNOW medical software is a plus.
  • Positive work references required. All professional references are checked.

Competencies

  • Must be meticulous and accurate when working with patient data.
  • Must protect patient confidentiality and comply with HIPAA regulations.
  • Possess strong customer service skills along with a bubbly personality.
  • Have professional phone mannerisms and strong verbal communication skills.
  • Must be able to write well without grammatical or spelling errors for appointment descriptions.
  • Project professional appearance and have more than satisfactory hygiene.
  • Must be reliable without any unapproved absences or tardiness.
  • Knowledge in skin care products is a plus.

Salary range is dependent on skills and experience.
