Role Description

Join our Simple Mills team in Mill Valley, CA, as the Office & Lab Coordinator! In this role, you will play a key part in maintaining a smooth and efficient work environment, handling tasks that range from office coordination and vendor management to supporting our innovation lab and leadership team. Reporting directly to our Sr. Manager of People Operations, you will collaborate with teams in both Mill Valley and Chicago to ensure everything runs seamlessly. This is a full-time, exempt position. 

Key Responsibilities Include:

Office Management:

  • Office Operations & Vendor Management: Oversee day-to-day office needs, including receiving/shipping packages, ordering office supplies, supporting on-site technology, and managing mail. Serve as the primary point of contact for external vendors, such as landlords, cleaning services, and repair providers, ensuring timely issue resolution and on-site support. 
  • Leadership Team Assistance: Provide essential support to members of the Simple Mills Leadership Team by managing expense reports, approving team expenditures, booking or adjusting travel, liaising with vendors, and coordinating meetings. 
  • Event Coordination: Create positive, brand-aligned experiences for employees and guests by managing event logistics, preparing meeting spaces, and organizing materials for on- and off-site meetings. 

Lab Coordination:

    • Supply Management: Handle the ordering and stocking of R&D ingredients, lab supplies, and quality control materials. This may occasionally include grocery store trips to procure ingredients for R&D and tasting sessions. 
    • Innovation Team Support: Assist the Innovation team (including R&D, Marketing, and Sustainability) with a variety of tasks such as baking samples, updating ingredient inventories, coordinating tastings, and more. 
    • Project Support: Take on additional projects as needed to support both office and lab operations. 

Performs other projects as assigned

Requirements

  •  Minimum of 2 years of related experience in an office support / administrative role OR R&D assistant / Lab Technician is required. 
  • This position will be full-time, in-office from Monday through Friday at our Mill Valley, CA location. Remote working may be approved for short periods of time based on business needs at the manager’s discretion. 
  • The ideal candidate would live within a 20-30 minute commute of the office to be able to be onsite in the case of an urgent vendor visit (fire department needs to reset an alarm, service provider shows up outside of regularly scheduled appointment timeslot, etc). 
  • Strong attention to detail, ability to manage multiple projects and processes simultaneously. 
  • Solid communication skills with the ability to adapt to differing environments and audiences to suite business needs.  
  • Adaptable to ever-changing needs and open to feedback.  
  • A continuous improvement mindset. 
  • A client/customer-oriented approach. 
  • A passion for natural food and healthy eating as well as a desire to change the way we think about ingredient labels.
