This position will support Washer Solutions, a subsidiary of Prescott’s Inc.

We are seeking an Office Administrator that will serve as the first point of contact for incoming service requests, customer inquiries, and administrative support needs. This role is ideal for someone who thrives in a fast-paced environment, takes pride in accuracy and professionalism, and enjoys providing exceptional support to internal teams and external customers. This position is responsible for managing daily office operations, processing service calls, maintaining customer and vendor records, and supporting the Service Department through a variety of administrative tasks. This role ensures an efficient workflow for service technicians, maintains the organization and appearance of the office, and assists with fulfillment and operational support as needed.

This position will be worked onsite at our facility in Victor, NY.

Responsibilities:

  • Answer all incoming calls related to service requests and order status between 8:30 a.m. and 4:30 p.m.
  • Create and process service work orders in the field service system.
  • Perform weekly updates and re-dates on open work orders.
  • Maintain up-to-date customer and vendor address/contact information.
  • Maintain secure customer credit card information through Authorize.net.
  • Provide tax-exempt certificates to vendors upon request.
  • Print and mail equipment tags and vendor payments as needed.
  • Process and fulfill Certificates of Insurance (COI) requests from customers.
  • Complete paperwork required by customers or vendors for account setup or ongoing account maintenance.
  • Order logoed uniforms for field technicians and manage distribution.
  • Renew parking permits annually and maintain related records.
  • Perform general administrative duties, including mailings, marketing packet assembly, filing, and document preparation.
  • Maintain office and breakroom supplies.
  • Support fulfillment operations and provide coverage as needed.
  • Maintain the overall appearance and organization of the office, breakroom, and shipping/receiving areas.

Requirements

  • High school diploma or equivalent required; additional administrative or office management training preferred.
  • 1–3 years of experience in an administrative, office support, or customer service role.
  • Strong verbal and written communication skills and a professional phone presence.
  • Strong organizational skills with a high level of attention to detail and accuracy.
  • Ability to manage multiple tasks, prioritize effectively, and follow through with minimal supervision.
  • Comfortable working with data entry systems and administrative tools.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel).
  • Experience with service systems, CRM platforms, or payment portals (SB, SOS, Authorize.net) a plus.
  • Customer-focused attitude with the ability to handle inquiries professionally and efficiently.

Pay Rate: $21.00/hour
