MINIMUM QUALIFICATIONS:
Must be in title or on the Civil Service eligible list for this location or be eligible for transfer under section 70.1 in a designated title determined by the New York State Department of Civil Service.

PROVISIONAL QUALIFICATIONS:

There are no minimum education or experience requirements for this position.

  • You must take the Office Assistant 1 exam and be reachable the next time it is offered, as well as being required to pass a keyboarding test that demonstrates your ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy.
Duties Description
The OA1 position provides office support to the overall operation of the Livingston Day Services programming site, including QMEC and requires effective communication, writing, and organizational skills in conjunction with the ability to work independently. Duties will include but are not limited to:

  • Greeting visitors and vendors upon entry to the building, facilitate sign-in, connect with appropriate person to increase safety and community presence.
  • Collecting accountability sheets and entering daily service recording into TABS for 85 individuals. Print AR19 at the beginning of the month, ensuring accuracy.
  • Answering incoming phone calls, taking messages and directing inquiries to appropriate person or department.
  • Providing clerical support to administrators, such as: typing, proofreading, faxing, copies, filing, and organizing.
  • Completing the clerical processing on documents related to SEMP and Pathways billing and any other future services provided on sight, as well as the supporting documents (scan, label, forward, electronically file).
  • Creating and maintaining tracking and filing systems (Excel and Word) for a variety of projects and documents (mileage sheets, monthly meter read, training, QLR, incidents).
  • Assisting staff with equipment issues and performing basic cleaning and maintenance of office equipment and referring problems to appropriate person (keyboards, screens, phones, copy/scan/fax machines, video and teleconference equipment, computers ITS help tickets). Oversight and tracking of Laptops, call in at the end of the day and secure.
  • Process and submit Visa packets and Monthly Contract report to the Business office.
  • Petty Cash Custodian
  • Oversight of van Inspections/Maintenance. Communicate with Garage for drop off and pick up.
  • Maintaining a written inventory, ordering of office and building supplies and materials, organizing storage of resources.
  • Track and file all time off for employees. Check phone messages in the morning for unscheduled absences. Submit sign in and sign out documents to HR.
  • Assisting with reserving and maintaining conference space. Maintain an on-site conference room and monthly hall calendar for meeting scheduling.
  • Assisting Office Manager with maintenance/building issues, and submit maintenance issues into Facility max.
  • Providing supervision and direction to volunteers.
  • This position will assist QMEC in Dansville and other sites associated within IES/Day Service areas as needed.
