We are hiring an Office Assistant for one of our clients in Buckeye, AZ.

Job Description:

Under close supervision, performs basic clerical and administrative duties.

  • Provides excellent customer service and greets walk in guests.
  • Answers incoming telephone calls and directs the caller to the correct person or work group or takes and relays messages as appropriate.
  • Performs clerical and administrative duties, including data entry, record keeping, preparing, creating and maintenance of various documents.
  • Receives and distributes mail/packages to the appropriate division.
  • Prepares documents, collects data and enters information into computer tracking systems; scans, prepares and proofreads documents for distribution.
  • Coordinates and schedules meetings and appointments.
  • Creates and maintains records and files.
  • Provides information and assistance to visitors and others having business with the City; responds to requests for information within the span of authority.
  • Assists w/planning and implementation of department functions.

Skills Required:

  • Principles of record keeping and records management.
  • Microsoft Office software programs.
  • Providing excellent customer service
  • Preparing and maintaining files, records, and documents
  • Active listening
  • Communicating effectively both verbally and in writing
  • Maintain confidential and sensitive information
  • Solve routine problems
  • Manage and prioritize work
  • Perform basic mathematical calculations
  • Follow oral and written instructions
  • Operate a personal computer with associated software and database applications
  • Work independently as well as a contributing team member
  • Establish and maintain positive, effective working relationships with those contacted in the performance of work.

Experience Required:

  • One (1) year of clerical and computer experience or an equivalent combination of education and experience

Education Required:

  • High School diploma or GED equivalent

Work hours:

  • Shift: First Shift
  • Work Schedule: Standard
  • 8:00 AM to 5:00 PM
