Summary:
We are seeking a detail-oriented and organized Administrative Office Assistant to support daily office operations. Strong communication, time management, and problem-solving skills are essential for success in this role. The ideal candidate will handle a variety of administrative and clerical tasks, ensuring smooth workflow and efficient communication within the office and to our clients. They will demonstrate a high level of integrity, professionalism, and value quality customer service.

Organization Overview:
We're a dynamic and growing organization dedicated to providing exceptional services. We value teamwork, integrity, and excellent customer service. We pride ourselves on our reputation and ability to serve Jefferson County and the greater Central Oregon region.

Responsibilities include (but are not limited to):

  1. Collaborate with team members to achieve common goals and objectives
  2. Develop and maintain a thorough knowledge of our company and services
  3. Greet and assist visitors, clients, and staff in a professional manner
  4. Answer, screen, and direct phone calls and emails
  5. Schedule appointments and manage calendars
  6. Organize and maintain paper and electronic files
  7. Prepare and edit correspondence, reports, and other documents
  8. Perform data entry and update databases accurately
  9. Ensure the office environment is clean, orderly, and functional
  10. Other administrative tasks as assigned

Qualifications:

  • Ability to work independently with little supervision
  • Ability to demonstrate excellent written and verbal communication skills
  • Ability to demonstrate high level organization skills
  • Ability to prioritize tasks and manage multiple projects simultaneously
  • Ability to demonstrate proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to learn new computer programs and software quickly
  • A desire to meet and interact with people from diverse backgrounds and industries
  • Prior applicable office experience required
  • High school diploma or GED required
