Job description:

We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This vital role ensures the smooth operation of daily office activities and provides exceptional support to clients, visitors, and staff. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. Duties

  • Greet visitors warmly and professionally, directing them appropriately
  • Manage multi-line phone systems, answer inquiries, and transfer calls with excellent phone etiquette
  • Maintain organized filing systems, including digital files using and Microsoft Office tools
  • Perform data entry, proofread documents, and handle clerical tasks such as photocopying and scanning
  • Schedule appointments, manage calendars, and coordinate meetings for staff or clients
  • Assist with bookkeeping tasks using Quick Base CRM and QuickBooks and support basic office management functions
  • Support customer service efforts by providing timely assistance and support via phone or in person


Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) applications
  • Familiarity with QuickBooks for basic bookkeeping and financial record-keeping
  • Excellent verbal and written communication skills; bilingual abilities are a plus
  • Strong time management skills with the ability to prioritize tasks effectively
  • Experience handling multi-line phone systems and practicing professional phone etiquette
  • Demonstrated ability to manage calendar scheduling, data entry, filing, and proofreading tasks efficiently
  • Ability to maintain confidentiality and handle sensitive information discreetly
  • Bilingual a plus
