Our esteemed client, a leading full-service provider in roofing and exterior services, is in search of a committed Office Coordinator to contribute significantly to their growing operations in Austin, TX.

The Office Coordinator is responsible for supporting multiple teams with various administrative tasks.
The person in this role will be a fundamental part of ensuring that our office operations run smoothly and successfully every day.


Responsibilities:
  • Collaborate with project managers and production managers for seamless project coordination.
  • Assist in pre-construction project administration.
  • Support sales and estimating teams with prequalification and bid submittals.
  • Coordinate daily activities of the service department.
  • Manage work orders and invoicing for service-related projects.
  • Assist Project Managers in ensuring smooth project execution.
  • Contribute to contract review and filing processes.
  • Define procedures for the retention, protection, retrieval, transfer, and disposal of records.
  • Support accounting functions such as payroll, AR, and billing (fill-in as needed).
  • Organize office operations, control correspondence, design filing systems, and review/approve supply requisitions.
  • Maintain professional knowledge through educational workshops and publications.
  • Undertake various tasks as required.
Required Skills/Abilities:
  • High School Diploma / GED
  • 1+ years of construction administrative experience.
  • Preferred experience in commercial roofing.
  • Ability to speak Spanish is a plus.
  • Notary certification.
  • Strong analytical and problem-solving skills.
  • Comfortable working in a pressure environment and meeting deadlines.
  • Proficient in job-related software.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with meticulous attention to detail.
  • Proficient in Microsoft Office Suite or related software.
