**Job Description: Office Manager for Multiple Locations**

**Location:** Nelson, MO

**Position:** Office Manager and Personal Assistant

**Company Overview:**

Commercial Truck and Trailer Repair is a leading provider of automotive repair services in Missouri, with multiple locations including a brand-new commercial truck and trailer repair shop opening late this year (opening date not secured yet), an established auto repair shop, and an accounting and dispatch office in Sedalia, MO.

**Job Description:**

As the Office Manager, you will be responsible for managing the administrative operations of our multiple locations, including setting up systems for the new truck and trailer repair shop, the existing auto repair shop, and the related accounting and dispatch office.
You will work closely with the owners, current, and future managers to develop and enforce policies and procedures, manage employees, and ensure compliance with all company policies and regulations.

**Key Responsibilities:**

- Manage office operations, including organizing and maintaining files, records, and other documents

- Develop and implement office policies and procedures to ensure the smooth operation of the administrative services.

- Coordinate office activities and events, including meetings, conferences, and appointments

-Coordinate clear communication between departments and follow-ups.

- Oversee office supplies and equipment, including purchasing and maintenance

- Manage office budget and expenses

- Supervise administrative staff and provide training and support as needed

- Ensure compliance with all company policies and procedures

- Maintain a safe and secure working environment

**Employee Management:** Supervise and train management staff, including receptionists, administrative assistants, and accounting personnel.
Assist managers to manage employee schedules, performance, and development.

**Policy and Procedure Development:** Work with the owners and managers to develop and implement policies and procedures for all locations, including developing a new system for the new location, ensuring consistency and compliance with company standards and regulations, as well as local and national laws and requirements.

**Benefits and Legal Requirements Management:** Manage employee benefits programs, including health insurance, retirement plans, and other benefits once that is live.
Ensure accurate record-keeping and compliance with national, state, and local legal requirements.

**Compliance:** Ensure compliance with all relevant laws, regulations, and company policies.
Conduct regular audits to ensure adherence to policies and procedures.

**Communication:** Facilitate communication between different locations and departments.
Ensure all relevant information is communicated effectively and efficiently.

**Budget Management:** Assist in budget preparation and management for all locations.
Monitor expenses and revenue and make recommendations for cost-saving measures.

**Problem Solving:** Address any issues or concerns that arise at the locations, including customer complaints, employee disputes, or operational issues.
Take proactive measures to resolve problems and prevent recurrence.

**Qualifications:**

- Strong leadership and management skills, with the ability to motivate and inspire a team.

- Previous experience in office management or employee management, preferably in the automotive/repair/transportation industry.

- Excellent communication and interpersonal skills.

- Ability to take initiative and work independently, while also following direction from the owner.

- Knowledge of accounting principles and software is a plus.
