Overview:

We are seeking an experienced and dynamic Office Manager for our Los Angeles office. The Office Manager will be responsible for ensuring the smooth operation of office activities and services. This role is pivotal in maintaining a productive and efficient office environment and will involve coordinating office operations, managing administrative staff, and providing executive support.

Key Responsibilities:

  1. Office Administration:
    • Oversee and coordinate day-to-day office operations and activities.
    • Ensure office supplies and equipment are maintained, including inventory management and procurement.
    • Manage office space planning and layout to ensure optimal utilization and a productive work environment.
    • Handle facility management, including maintenance, cleaning, and liaising with building management.
  1. Staff Management:
    • Supervise and support administrative staff, including hiring, training, and performance evaluations.
    • Coordinate schedules and workloads of administrative team members to ensure efficient operations.
    • Foster a positive and collaborative work culture within the administrative team.
  1. Executive Support:
    • Provide high-level administrative support to senior executives, including scheduling meetings, managing calendars, and coordinating travel arrangements.
    • Prepare reports, presentations, and correspondence as needed.
    • Assist with the organization and execution of company events, meetings, and conferences.
  1. Financial Management:
    • Assist in budget preparation and expense tracking for office operations.
    • Handle invoice processing, petty cash management, and expense reporting.
    • Coordinate with the finance department to ensure accurate and timely financial transactions.
  1. Compliance and Procedures:
    • Ensure company policies and procedures are followed and maintained within the office.
    • Implement and manage office health and safety protocols.
    • Maintain confidentiality of sensitive information and manage records and documentation securely.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Strong leadership and team management skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and attention to detail.

Preferred Qualifications:

  • Experience in the manufacturing or distribution industry.
  • Familiarity with office management software and tools.
  • Knowledge of financial and accounting principles.
