Office Manager
Reporting to: Executive Director
Status: Non-Exempt
Position SummaryThe Office Manager is responsible to complete sound administrative practices that strengthen IRLCs ability to establish and maintain a strong and enduring level of public involvement through membership, volunteerism and fundraising while assisting to ensure the IRLC maintains Land Trust Alliance (LTA) accreditation standards and that all policies and procedures are reviewed to remain relevant with state and federal regulations.
Responsibilities:
Office Management and Administration:
Answers phones, writes interoffice memos and cordially greet guests at the IRLC office. Office manager checks mail, opens, dates and distributes to appropriate personnel for action.
Office manager processes all donations received by IRLC, updates and maintains the donor and member database and prints acknowledgment letters at least monthly.
Organizes grant records, as needed, and manages annual scholarship awards, files annual tax forms, and serves as the recording secretary at monthly board meetings.
Responsible for office automation, networking, and ordering office supplies. Aids in maintaining an orderly, safe and clean work environment.
Keeps track of files in a timely manner and files all required state charity registrations.
Assists in completion of annual SEFA Registration.
Develops and maintains standard operating procedure manual for all tasks performed by Office Manager.
Assists with, and supports the preparation of IRLC events, meetings, and programs, as needed.
Executive Assistance:
Provides assistance to the Executive Director for filing, administrative tasks.
Assembles board packets, committee materials, event/program materials, policies and other information to keep accurate files electronically for audit and accreditation purposes.
Assists in IRLC LTA reaccreditation preparation, coordinating the internal review process, managing remedial actions, and integrating with the accreditation review team.
Works with the Executive Director in preparing the annual budget and monitors financial expenditures to ensure strict compliance with the annual budget.
Other duties as assigned.
Accounting and Finance:
Prepares cash receipts for deposit including but not limited to member contributions, grant payments, events income and merchandise sales.
Makes weekly deposits to the bank; files receipts and makes copy of deposit for accountant.
Assist with other projects as necessary.
Qualifications and personal qualities:
Strong organizational and communications skills, detail oriented.
Proficient in Windows XP Pro, Microsoft Office, Excel and Quickbooks.
Experience in a small office environment and prior office manger experience desired.
Self-motivation and ability to multi-task and cope with interruption and changes.
Ability to work well as part of a team and individually with minimal supervision.
Willingness to work some evenings and weekends.
