JOB DESCRIPTION:

Seeking a Office Manager/Executive Assistant with experience providing comprehensive support in a family office; supporting Executives and focusing on other administrative office matters. The ideal candidate is polished, dynamic, has the ability to anticipate needs and works with a sense of urgency while maintaining a high level of professionalism and confidentiality. This is a full-time position with benefits and will require working onsite at firm.


Key Responsibilities:

  • Provide sophisticated calendar management; make judgements and recommendations as needed. This will include, but is not limited to, in-person, video-conferences, travel arrangements (private and commercial), visa requirements and other matters.
  • Serve as HR contact for the office.
  • Project management and serving as gatekeeper.
  • Build and maintain relationship with internal and external contacts.
  • Manage expenses and keep detailed logs.
  • Serve as liaison, as needed, with House Managers or other household staff.
  • Event management - organize parties and events.
  • Review correspondence and escalate accordingly.
  • Other administrative tasks/projects/duties as assigned.


Qualifications:

  • Bachelor degree is preferred.
  • 3+ years of experience serving as an Office Manager/Executive Assistant supporting Executives in a family office environment
  • Bilingual - English and Spanish
  • Strong ability to take ownership and execute projects.
  • Ability to work well both on a team and also as an independent contributor.
  • Strong sense of urgency and at ease working in a fast-paced environment.
  • Strong problem resolution, negotiation and closing skills.
  • High attention to detail.
  • Ability to multi-task and prioritize multiple time-sensitive deadlines.
  • Strong verbal and written communication skills.
  • Strong customer service skills and high level of professionalism and confidentiality.
  • Excellent judgement is key as well as ability to respond quickly to situations that require quick turnaround.


Base range: 60-70k depending on experience, plus a discretionary bonus.
