I.
SUMMARY OF POSITION:

Provide main office support for the operations department. Provides customer service, coordinating, organizing, reporting for department functions, multi purpose and tasking position. Assists other departments and functions as needed.



II. DUTIES AND ACCOUNTABILITIES (End Results Expected):


  1. Provides central office support for operations department by organizing, coordinating, providing customer service and internal coordination.
    Receives and responds to customer requests
    Assists with daily work scheduling and job status.
    Provides data entry and follow up of work in progress, job queries, reports
  2. Provides assistance for operations department, record and reporting functions.
    Assists daily, monthly reports, records, and bench marking data.
    Assists with operations and maintenance programs for vehicles, equipment.
    Assists with operation and specialized maintenance programs
  3. Provides main office crew dispatch and coordination, outage recording
    Takes outage and service daytime calls, coordinates with crew and offices
    Manages the Outage Management System (OMS)
    Provides customer service call back and follow up, coordinates with call center
    Keeps outage and service records up to date
    Assists with overtime, statistical reports as required
  4. Provides assistance and support for safety loss control functions.
    Provides safety meeting minutes and reports, attends all safety meetings.
    Assists with employee training, qualification records.
    Assists with safety compliance, incentive committees meeting, programs and records
    Assists with safety, DOT, OSHA compliance records
    Assists with EPA-PCB, oil records and programs.


5. Other duties as assigned.

INTERPERSONAL SKILLS:

Must be able to interact and communicate effectively with general public, all levels of employees. Must be able to take and give instructions clearly.


IV. ORGANIZATIONAL SKILLS

Must be able to accomplish various tasks with little supervision. Must be highly organized, able to plan, schedule, complete tasks on time.


V.
COMPUTER, DATA EQUIPMENT SKILLS

Must be able to operate computer and programs. Competent on word processing, Excel and general operations software. Able to operate phone, radio and other communications machines.


OTHER Must possess and maintain a Idaho drivers license class B
ORAL: Must possess good communicative skills to effectively express oneself to member/customers and all level of employees.
WRITTEN: Ability to effectively communicate knowledge and ideas clearly and easily.


VII.
SCHEDULING AND PLANNING:

Must be self-motivated to complete tasks assigned in a timely manner. Ability to handle several assignments simultaneously.


VIII.
BASIC JOB REQUIREMENTS:

EDUCATION: High School Diploma or equivalent education. Advanced education desired
EXPERIENCE: Experience or advanced training in office and or business
OTHER SKILLS: Bi-lingual Spanish communication desired.

EQUIPMENT OPERATED:

Telephone, adding machine, personal computer, and various software programs, some specialized.
