The Operations Assistant supports branch operations and administration, receiving, inventory control and various administrative duties. Reports directly to the Operations Manager.- Process inbound material documentation (transfers and mill purchase orders), prepare warehouse receiving reports, and process receipts through WAS or i5.
- Verify completion of all sales order by applicable due date
- Daily review of billing of sales and VAS orders as needed
- Prepare WAS manifest / packing lists / bills of lading for all outbound shipments
- Coordinate motor freight shipments with Ruan
- Coordinate and schedule appointments for inbound shipments
- Coordinate Outbound shipments with Ruan Fleet and plan truck routes/loads
- Scan and post all Proof of Deliveries into applicable WAS manifest
- Maintain control copies of electronic sales orders, receiving reports, and transfers
- Process and receive inbound shipments in to WAS including scanning of documents
- Process paperwork for warehouse receiving and distribute to personnel
- Maintain and assist with DOCK items to keep inventory clean
- Process and report RMA and damaged material for deposition
- Maintain electronic MTR systems to include document scanning and retrieval
- Maintain all associated databases, logs, spreadsheets, and electronic files
- Ensure all change orders and/or order cancellations are completed and updated in WAS
- Coordinate interbranch shipments to include WAS generated manifest and shipping documents
- Convert / receive applicable product to Off Site Consigned
- Recover costs for shipping supplies, freight charges, etc., on applicable sales orders
- Initiate inventory adjustments as needed or directed
- Responsibilities
- Serve as back up to various administrative duties to include phone coverage
- Investigate and resolve inventory discrepancies
- Complete location changes
- Assist customers and drivers as needed
- Assist as needed with physical inventories, inventory verifications, and inventory stock checks
- Assist Operations Manager and staff as needed
- Coordinate with Operations Manager and sales to ensure high level of satisfaction
