Description:
The Coordinator carries out assigned activities in support of the department. Provides office services by implementing administrative systems, procedures, and policies; monitoring administrative projects; maintaining project management system and helping in incoming/outgoing asset flow. Arranges meetings and logistics. Proficient in all MS Office Suite Products.
Seeking a go-getter. Role is primarily focused on the TV and library titles high volume. I would like to see candidates with PA on a movie /TV series production experience, post-production experience, or operational experience at an agency or studio. Having industry knowledge is a PLUS. Individual will need to be flexible to be on the lot/set to provide support. Position has the opportunity to go full time.
Responsibilities:
Operations
- Assist the Operations and Production team on all incoming/outcoming requests.
- Responsibility for input and activation of all incoming requests through our Email Alias (via our project management software)
- Organizing, creating, and distributing show bibles throughout the team.
- Creating and distributing client reports with accurate project status.
- Maintaining all metadata information in various program systems across multiple teams (Wrike Tableau, Ci)
- Traffic and maintain all acquired assets and ensure delivery to departments, editorial, and vendors.
- Manage relationships with other internal workgroups to ensure proper communication; timely and accurate maintenance of required information in systems such as Wrike, Ci and Runner.
Invoice & Billing
- Main contact for all department billing (submit invoices, acquiree coding, updating billing reports), any previous billing and submission experience a huge bonus.
- On-boarding all new vendors and freelancers in our billing SAP system.
- Track all incoming invoices and submission status with our accounting department.
General Admin
- Organizing team out-of-office calendar, production schedules and team bandwidth
- Order any team office supplies through our studio system.
- Submit any drive-on requests/lot access when needed for team meetings.
Requirements:
- BA degree preferred.
- 1-2 years working as an assistant, project/ops coordinator, or PA (studio or agency experience a huge plus).
- Oriented toward working on a team but able to function as an individual.
- A go-getter attitudes. This is a proactive role, not a reactive role.
- Must have great follow-up skills.
- Passion for entertainment with knowledge of marketing fundamentals within the industry.
- Must love TV & Film in general. You will consume a ton of it.
- Must be functional in Microsoft 365 suite: Excel, Word, PowerPoint, Outlook, Teams.
Nice-to-have/Plus:
- Access to high-speed internet (when we re WFH).
- Experience with project management system software (Wrike, Basecamp, Jira, Airtable, etc.).
- Skill in project management, problem-solving, clear, and articulate communication, decision making, diplomacy, time management, and professional presentation.
- Working knowledge of editing processes , production, and post-production processes and timelines a huge plus.
- Knowledge of content distribution platforms and best practices (social, broadcast, etc)
