Our law firm is seeking an Operations Coordinator to oversee day-to-day operations, support our team, and ensure smooth workflows across the office. This role is critical to maintaining the productivity and success of our growing team.
Location: East Greenwich, Rhode Island
Position Type: Full-Time, Monday through Friday
Key Responsibilities:
- Team Communication & Reporting
- Manage and distribute communications regarding established KPI reporting dashboards.
- Regularly monitor systems and report areas of improvement, lack of compliance with protocols, and efficiencies of existing systems and processes to leadership.
- Team Support
- Oversee phone systems and ensure effective communication workflows.
- Supervise lead management processes and ensure seamless CRM system operations.
- Office & Operations Management
- Assist with calendar management, including holiday and vacation scheduling.
- Ensure associate attorneys adhere to firm systems, processes, and policies.
- Enforce established office policies to maintain a productive and organized work environment.
- Identify and implement process improvements to enhance overall efficiency.
- Leadership Support
- Collaborate with leadership to set operational goals and track progress.
- Provide actionable insights from KPI reports to guide decision-making.
- Team Development
- Support onboarding and training of new team members to ensure adherence to firm protocols.
- Act as a resource for staff, providing guidance and troubleshooting operational challenges.
Requirements
- Bachelor's degree in business administration, management or related field preferred.
- 2+ years of experience in operations or administrative roles, preferably in a legal environment.
- Prior experience with law firm operations, sales operations, or healthcare operations a plus.
Strong organizational and analytical abilities.
Exceptional attention to detail and ability to adapt in a dynamic environment.
Excellent verbal and written communication skills.
Proactive problem-solving mindset with a focus on continuous improvement.
Proficient in Gmail, Google Sheets/Excel, and PowerPoint.
Familiarity with CRM systems, Tableau dashboards, and phone systems is a plus (training provided if needed).
