Are you a detail-oriented and systems-driven professional passionate about optimizing processes and fostering effective communication? Our law firm is seeking an Operations Coordinator to oversee day-to-day operations, support our team, and ensure smooth workflows across the office. This role is critical to maintaining the productivity and success of our growing team.

Location: East Greenwich, Rhode Island
Position Type: Full-Time, Monday through Friday

Key Responsibilities:

  • Team Communication & Reporting
    • Manage and distribute communications regarding established KPI reporting dashboards.
    • Regularly monitor systems and report areas of improvement, lack of compliance with protocols, and efficiencies of existing systems and processes to leadership.
  • Team Support
    • Oversee phone systems and ensure effective communication workflows.
    • Supervise lead management processes and ensure seamless CRM system operations.
  • Office & Operations Management
    • Assist with calendar management, including holiday and vacation scheduling.
    • Ensure associate attorneys adhere to firm systems, processes, and policies.
    • Enforce established office policies to maintain a productive and organized work environment.
    • Identify and implement process improvements to enhance overall efficiency.
  • Leadership Support
    • Collaborate with leadership to set operational goals and track progress.
    • Provide actionable insights from KPI reports to guide decision-making.
  • Team Development
    • Support onboarding and training of new team members to ensure adherence to firm protocols.
    • Act as a resource for staff, providing guidance and troubleshooting operational challenges.

Requirements

  • Bachelor's degree in business administration, management or related field preferred.
  • 2+ years of experience in operations or administrative roles, preferably in a legal environment.
  • Prior experience with law firm operations, sales operations, or healthcare operations a plus.
  • Strong organizational and analytical abilities.

  • Exceptional attention to detail and ability to adapt in a dynamic environment.

  • Excellent verbal and written communication skills.

  • Proactive problem-solving mindset with a focus on continuous improvement.

  • Proficient in Gmail, Google Sheets/Excel, and PowerPoint.

  • Familiarity with CRM systems, Tableau dashboards, and phone systems is a plus (training provided if needed).
