Overview:
Tekberry is seeking a highly qualified and motivated Operations Specialist to perform specialized and diverse work activities. This role requires both independent problem-solving and collaboration with multiple functional teams. The position supports operations and facilities activities related to maintenance, repair, qualification, and validation in a cGMP facility producing innovative cell and gene therapies for rare diseases.
Key Responsibilities:
Facilities Operations & Maintenance
- Serve as the point of contact for property operations and maintenance in assigned building(s), units, and labs.
- Initiate work requests, monitor completion, and coordinate routine maintenance services, including trash, utilities, custodial, pest control, inspections, grounds/landscapes, alarms, systems, and equipment.
- Perform condition assessments on appearance, equipment, or troubleshooting (per FSM guidance).
- Implement preventive maintenance plans and integrate utility usage optimization, including monitoring usage, providing recommendations, following up, and coordinating shutdown requirements.
- Coordinate contract work and third-party vendors.
- Identify and implement building operations and process improvements to increase productivity and reduce costs.
- Coordinate maintenance logistics to avoid conflicts with faculty, research activities, or events.
Property Administration
- Complete property tagging, data entry, inventory management, purchase orders, and receiving.
- Maintain accurate recordkeeping and tracking, supporting space allocation decisions and administrative reporting.
Facility Security
- Implement facility security programs, including distributing keys, providing building access, monitoring access records, and assessing security infrastructure needs (cameras, alarms, interlocks).
- Adjust access schedules as required to meet operational needs.
Project Coordination
- Perform assigned tasks within department projects, act as a project coordinator/liaison, and oversee/execute small, local projects including organization, scheduling, budgeting, and implementation.
Safety & Compliance
- Serve as safety management coordinator by correcting identified safety issues, tracking chemical inventory, managing hazardous waste, communicating and implementing disposal procedures, and conducting safety training or new employee facility orientation.
- Participate in emergency preparedness, recovery, and business continuity planning.
Space Management
- Coordinate moves, space inventory, and space allocation tracking.
- Specify setups, maximize space utilization, and provide input into facilities renewal models and capital plan implementation (as assigned).
Qualifications & Requirements:
- BA degree and three years of related facilities management experience, or a combination of education and experience.
- Strong interpersonal skills and mature judgment to effectively interact with faculty, staff, and vendors.
- Ability to manage multiple projects and competing priorities while meeting deadlines.
- Working knowledge of Microsoft Office applications (Excel, Word, PowerPoint, Project).
- Experience with internal and external vendors and contracting services.
- Knowledge of safe handling and disposal of chemicals, hazardous waste, and laboratory emergency preparedness.
- Customer service, cash handling, administrative support, and relationship management experience preferred.
- Valid California Non-commercial Driver's License required.
