Overview Title: Operations Student Manager Employee Classification: Student Help Regular Division Name: Student Affairs Department: Event Management, Dining and Hospitality Summary The Department of Event Management, Dining, and Hospitality is the largest student employer at Illinois State University. Responsibilities Student Managers interview, hire, train, and maintain Usher and Section Supervisor staff alongside a team of managers. Organize and supervise staff for events in Braden Auditorium and the Bone Student Center. Secure entrances/exits, conduct bag checks, scan and verify IDs, circulate among visitors to maintain order, operate detecting devices, and enforce building policies with frequent public interaction. Work with flexible weekend hours that extend late into the evening as required by events. Provide exceptional customer service, offering information, directions, resource materials, and assistance in a respectful, courteous, and professional manner. Set up meeting/event rooms according to the daily operations setup worksheet and/or as directed by supervisor/Operations Managers. Ensure rooms are clean, opened, properly equipped at least 15 minutes prior to start time, and secured within 15 minutes after meetings end. Check out/return Operations Staff radio and keys to/from the key box; monitor radio communications and relay requests to students or other staff. Monitor activity throughout the building and surrounding areas; enforce building and university guidelines; report problems to appropriate staff as needed. Assist with equipment inventory, furniture moving, delivery load in/out, and other tasks as assigned. Lock/unlock external doors and event rooms; set up and tear down rooms for events. Lead and train the team of student bussers; ensure cleanliness of the building and guest areas. Handle unforeseen guest needs and changes in setup or equipment; add or remove equipment and services by coordinating catering, production staff, and operations teams. Set up operations events outside the BSC (e.g., homecoming parade booth, speeches, press conferences). Maintain the building temperature using Insight software; keep storage areas neat and organized; remove broken or dirty equipment. Communicate changes in guest needs to supervisors in Operations and Events and Scheduling departments; handle requests on behalf of supervisors when needed. Accommodate requests from other departments in the BSC to help complete tasks; answer questions about the building, events, and problems as needed. Contact repair, maintenance, and grounds staff in times of need; contact ISU police or local authorities when required; report to emergency/rescue on arrival about status of building and guests. Continuously improve operations processes by collaborating with supervisors and providing input. Manage employee scheduling for events using Caterease and Humanity; prepare pre-event documents and post-event reports. Coordinate with Production Services, Box Office, Scheduling, and Operations for BSC/Braden Auditorium events. Maintain and allocate event equipment and uniform clothing; provide support in customer interactions beyond the Usher/Section Supervisor level; enforce BSC/Braden policies as needed. Schedule and oversee breaks for Usher and Section Supervisor staff during events. Handle event-related incidents regarding alcohol and illegal substances. Perform other duties as necessary or assigned. Qualifications Strong customer service and communication skills; able to work as a team player with clients as a top priority. Exceptional leadership and administrative capabilities. Mature, dependable, able to function calmly under pressure; able to make sound and independent decisions. Multi-tasking abilities, excellent time management, and problem-solving skills. Ability to work independently and take initiative; professional attitude. Weekend and evening hours; availability during normal semester, summer, and/or holiday periods desired. Positive attitude with willingness to accommodate client, guest, and staff requests and exceed expectations. Strong work ethic, attention to detail, and ability to multi-task, organize, supervise, and lead. Interest in working with a diverse staff and serving a diverse population of students, guests, and clients. Strong time management skills with emphasis on punctuality and reliability. Work Hours Varies; must be available 10 hours per week.
