As the Operations Support Manager, you will lead a team of Operations Support Specialists, delivering best-in-class customer service to our branch teams. Your high level of curiosity and excellent time management skills will enable you to partner effectively with Fleet, Safety, Finance, IT, and other stakeholders. Your goal will be to implement strategies that enhance productivity, cost-effectiveness, and safety.

WHAT YOU WILL BE DOING

Fixed Assets Management

  • Serve as the “Power User” for the Capital Asset Database and various Fleet software platforms.
  • Partner with Accounting to ensure timely payment of invoices, accurate depreciation schedules, and proper application of proceeds from asset disposals.
  • Ensure compliance with California DOORS / CARB regulations.
  • Guide Operations Support Specialists in generating fleet compliance and maintenance scorecards, scheduling GPS unit installations, reviewing fuel card data, conducting driver audits, maintaining driver documentation, coordinating annual DOT inspections, and tracking assets over $1,500.

Financial Support

Ensure accurate reconciliation of invoices with Accounting, including:

  • WEX Fuel consumption
  • Fleet Complete GPS
  • Fleetio DOT tracking
  • Mike Albert Fleet maintenance

Procurement

  • Coordinate with IT to publish cellular data consumption reports for field review.
  • Collaborate with Division Vice Presidents to maintain correct inventory selection with uniform suppliers.
  • Ensure the Safety Supplier is adequately stocked with seasonal high-demand PPE inventory.
  • Partner with the Director of Safety to maintain an effective Boot Program for branches.
  • Track and review annual National Account contracts, ensuring proper allocation of rebate checks.
  • Maintain the Vendor Relationship program in collaboration with all stakeholders and execute the annual leadership meeting Vendor Showcase.

Safety

  • Partner with the Director of Safety to publish monthly scorecards and assist in producing AON annual reports.

Systems Administration

Administer systems including:

  • Mike Albert vehicle service management
  • Fleetio DOT compliance
  • Fleet Complete GPS
  • WEX fuel consumption
  • UniFirst uniform portal
  • Ritchie Brothers/Iron Planet equipment reseller portal
  • Ford / Tesla OEM portals
