Overview:

EP Case Coordinators perform substantive billable legal work under the direction

of one or more attorneys in the office. A Case Coordinator’s primary goal is to

support our legal team with information gathering, drafting estate planning

documents and client correspondence, preparing for client meetings, and filing

documents after the signing appointment.


Reporting Relationship:

The EP Case Coordinators perform their duties under the direction of one or

more attorneys to whom they may be assigned. A Case Coordinator’s

employment relationship with the Firm is managed by the Firm Administrator.

Authority:


Case Coordinators are prohibited by the ABA’s rules of Professional Conduct and

State Bar Association rules on practicing law. All work done by Case

Coordinators must be in support of and under the direct supervision of an attorney.

In dealing with clients, Case Coordinators must be careful not to inadvertently slip

into the unlawful practice of law. This would include answering client questions

about what will happen in their situation or recommending that a client undertake

a certain course of action regarding their estate plan.


We are a tech-forward firm, so you should be able to solve basic tech problems yourself. If you're not a fan of new tech, this position is probably not the best for you.


The Case Coordinator is a non-exempt position.

Compensation:

$25 - $35 hourly

Responsibilities:

Client Focused Tasks

  • Interact with clients and build relationships with them by phone, email, and in person: providing more and better communication with clients; strengthening the relationship between the client and the firm; information gathering from clients; meeting with clients to review estate planning documents
  • Advocate internally for their clients to ensure that their clients’ timelines and goals are being met
  • Set and adhere to internal case timelines (in ) to ensure that progress on the representation is being made
  • Schedules client calls and meetings: ensures that their calendar, and their attorneys’ calendars, are accurately maintained and organized in a logical and efficient manner
  • Interacts with the courts and administrative agencies regarding filings and recorded documents: acts at the courts’ primary point of contact with the firm for all administrative and scheduling issues
  • Draft correspondence and/or form-based estate planning documents or letters to clients/others
  • Proofread the attorney and case coordinator's work product


Attorney Focused Tasks

  • Keep attorneys’ calendars and send reminders: ensures that the attorneys’ work days are organized in a logical and efficient manner
  • Prepare and send legal correspondence as directed by attorneys: puts documents initially drafted by attorneys into final form, ready to be delivered to clients
  • Organize the attorneys’ files: ensure that the attorney has all of the relevant materials ready when the attorney has meetings or signings


Administrative Tasks

  • Enters their own time and billing data contemporaneously with adequate
  • detail (per Time Reporting and Timekeeping PSP)
  • Make copies/scans of documents
  • Assist with Policies and Procedures
Qualifications:

  • Capacity to synthesize new information quickly
  • Excellent organizational skills
  • Attention to detail
  • Highly effective written and verbal communications; ability to summarize information clearly and concisely
  • Internet research and investigation skills

  • Ability to prioritize workload and assignments, and meet deadlines for multiple, simultaneous projects
