The primary function of the Business Services team is to support all customers regarding volunteer compliance, financial assistance, insurance, and more. Business Services is responsible for, but not limited to, the utilization of various data systems, process registrations and Financial Aid, processing and supporting Certificates of Insurance, and managing volunteer compliance in partnership with various council departments such as Finance, Member Engagement, and Girl Experience teams. Other administrative support requests will be required as needed.

As part of the Business Services Team, you’ll assist members via Salesforce, email, phone, and in person. By answering questions, providing solutions, and supporting the council’s administrative needs, you’ll help make the Girl Scouts experience smooth and seamless for our members, so that they can focus on the girls!

Key Responsibilities:

Customer Service and Responsiveness

  • Ensure high quality service to all internal and external customers (staff, Girl Scout members, volunteers, parents, etc.) by portraying a positive image of Girl Scouting at all times.
  • Identify, prioritize, and balance customer issues; take time to answer questions and explain decisions; follow through on commitments to customers in a timely manner; maintain a commitment to continuous improvement.
  • Maintain Salesforce use (record all activities appropriately) and case creation/resolution standards.

Criminal and child abuse background checks

  • Initiate the clearance process, application, etc.
  • Be the primary staff responsible for compliance with cycle times to maintain effective girl and volunteer intake and processing.
  • Review clearances and escalate restrictions
  • Perform the monthly expiration process
  • Maintain secure and confidential records.
  • Work with the Volunteer Experience team to accommodate process for any updates provided from either GSEP or GSUSA.

Certificate of Insurance (COI)

  • Prioritize and process COI requests.
  • Apply organizational policies and guidelines to evaluate customers’ needs.
  • Be the GSEP liaison between the customer and the insurance company
  • Perform the certificate of insurance process when either requesting and supplying GSEP and/or facility COI copies

Financial Aid

  • Prioritize and process financial aid requests.
  • Apply organizational policies and guidelines to evaluate applicant need.
  • Notify applicants of approval, denial, or requests for more information.
  • Respond to applicant questions in a supportive, empathetic way.
  • Accurately enter applicant information into the database.
  • Maintain secure and confidential records.
  • Determine the level of aid to be granted based on guidelines and available funds.
  • Identify patterns or bottlenecks in the process and recommend improvements to make applying easier for families and staff.

Requirements

  • Minimum of 3 years of experience in compliance related role, preferably in a non-profit or youth focused organization
  • Previous experience managing and performing operations in Salesforce, Zendesk, or similar ticketing/CRM software
  • In-depth knowledge of relevant laws, regulations, and industry standards related to background check compliance within a youth focused organization
  • This is a part-time, non-exempt, hourly position (up to 25 hours/week)
  • Work Monday – Friday, during the business hours of 8 AM through 6 PM.
  • Various in-person meetings, staff representation at various events is required.
  • Up to 25% travel within our 9-county footprint
  • Maintain Membership as a registered Girl Scout
  • Detail-oriented with excellent analytical and problem-solving skills
  • Strong communication and interpersonal skills
