Job Description

A high-net-worth family office is seeking a part-time Executive Assistant to support its leadership team in a mostly remote setting. This opportunity is for a highly experienced Executive Assistant who thrives in organizational tasks, is exceptional with protecting time, communicating with external contacts, and enabling leadership to focus their time elsewhere. This family office operates within a high-touch, white-glove environment requiring advanced judgment, confidentiality, and poise. You will be relied upon to anticipate needs, organize schedules, and ensure day-to-day activities run smoothly, whether facilitating travel, managing correspondence, or supporting financial and administrative workflows.

Key Responsibilities:

  • Managing incoming and outgoing communications, calendars, and daily priorities across business matters.
  • Support office operations by overseeing mail, ordering supplies, and maintaining files.
  • Track, organize, and maintain financial and administrative records, including processing expense reports, invoices, and assisting with basic financial documentation.
  • Assist with travel booking, ensuring details are confirmed and transferred to appropriate calendars and itineraries.
  • Prepare, edit, and proofread written communications with a high level of accuracy and discretion.
  • Manage and triage inboxes; draft correspondence and respond on the office’s behalf with polish, and discretion. Escalate necessary prioritized items.
  • Act as a trusted gatekeeper, thoughtfully prioritizing requests and protecting time with sound judgment.
  • Handle ad hoc projects as they arise, exercising strong judgment and flexibility.
  • Finalize documents, slide decks, and tech-based administrative support, operating efficiently across MS Office and G-Suite.

Why You’ll Love Working Here:

  • A highly trusted family office role supporting philanthropic, investment and business endeavors.
  • Part-time position seeking 25 hours per week, 8-1:00pm ET. Occasional flexibility for after-hours support is required.
  • Mostly remote model: this role offers a hybrid structure, requiring one day in-office per week.
  • Unique opportunity to work with an impactful family office with a diverse portfolio.

What We’re Looking For:

  • Master of executive support. You bring 15 years of experience supporting senior leadership or C-level executives in a high-stakes environment.
  • Trusted navigator. You handle sensitive information and make thoughtful, confident decisions without prompting.
  • Inbox and calendar master. You manage complex schedules and high-volume correspondence with precision and poise. You are ultra responsive to internal and external contacts.
  • Financially fluent. You are comfortable tracking invoices, expenses, and basic financial data using tools such as Expensify or similar platforms.
  • Flexible and responsive. You are available to support occasional after-hours needs and are comfortable being the primary on-site presence.
  • Tech-savvy pioneer. You leverage modern tools to streamline workflows and stay ahead of evolving priorities.

Essential to Hawthorne Lane’s success is our ability to attract talent from a range of backgrounds. Our network reflects the diverse community around us, and we believe in a workplace where everyone feels valued and empowered to succeed. Applicants will not be discriminated against on the basis of race, color, creed, religion, sex, national origin, age, disability, marital or veteran status, sexual orientation, or any other legally protected status.
