Position Summary

The Patient Access Representative plays a key role in welcoming patients, completing registration and scheduling tasks, and ensuring accurate financial and demographic information is obtained. This position supports patients, families, clinical staff, and visitors by facilitating a smooth and efficient check‑in process. You will assist with admissions, insurance verification, communication with departments, and general customer service needs across the organization.

Key ResponsibilitiesPatient Registration & Access Support
  • Complete outpatient and inpatient admissions, ensuring all forms and signatures are obtained.
  • Verify insurance eligibility and benefits, document findings, and troubleshoot verification issues.
  • Enter accurate demographic, insurance, and clinical information into the registration system.
  • Schedule and check in walk‑in patients for the Family Practice Clinic.
  • Collect and post copays and patient payments accurately.
  • Assist patients with Medicaid Presumptive Eligibility applications as needed.
  • Direct patients, visitors, and vendors to appropriate departments and areas of the facility.
  • Notify clinical teams when patients arrive or require support.
Customer Service & Department Coordination
  • Maintain awareness of patient movement and communicate with colleagues to ensure smooth flow.
  • Support ER arrivals during evening shifts by gathering initial information.
  • Answer and route incoming calls, manage paging requests, and relay messages promptly.
  • Assist specialty clinics with registration needs and coordination.
  • Reassure family members of emergency patients and provide updates as appropriate.
  • Sort and distribute patient and Business Office mail on Saturdays.
Operational, Safety & Administrative Duties
  • Maintain accuracy in the electronic medical record and other systems.
  • Follow established security procedures for locking and unlocking patient areas at shift end.
  • Prepare on‑call schedules and review admission/discharge reports for accuracy.
  • Support new staff members by assisting with training as needed.
  • Uphold hospital, departmental, and safety policies.
  • Represent PACHS with a professional appearance and courteous demeanor.
  • Adapt positively to changes in technology, workflow, and healthcare processes.
  • Perform additional tasks as assigned by the Patient Access Manager or leadership.

QualificationsRequired
  • High school diploma or GED.
  • Basic computer skills and comfort using EMR systems, Word, Excel, and office equipment.
  • Strong communication skills and a customer‑focused mindset.
  • Ability to work flexible hours, including evenings, weekends, and holidays.
  • Ability to maintain confidentiality and accuracy in a fast‑paced environment.
Preferred
  • Experience in patient registration, customer service, healthcare, or insurance.
  • Knowledge of Medicare, insurance plans, and payment methods.
  • Comfort troubleshooting registration or insurance issues.
