Role summary
- Payroll Administrator responsible for end-to-end payroll processing and system administration, with expert-level ownership of Paycor and experience with BSwift, or integrating equivalent benefit platform, including integration design, implementation, maintenance, and troubleshooting.
Key responsibilities
- Process accurate, timely payrolls for assigned populations according to company payroll schedule and compliance requirements.
- Act as primary Paycor system administrator: configure pay codes, deduction codes, earnings, tax jurisdictions, security roles, user provisioning, and system settings.
- Serve as primary BSwift administrator during implementation of the platform.
- Maintain and monitor automated feeds (API or flat-file/SFTP) between BSwift and Paycor; troubleshoot, resolve, and document data exceptions and transmission errors.
- Reconcile payroll to benefits and general ledger: verify deductions, employer contributions, tax calculations, and post-payroll adjustments; prepare reconciliation documentation.
- Manage retroactive payroll adjustments caused by benefits changes, mid-period enrollments, terminations, and corrections originating in BSwift.
- Prepare, schedule, and deliver recurring and ad-hoc Paycor and benefits reports for HR, Finance, and Leadership; create custom reports and dashboards as needed.
- Ensure payroll and benefits data integrity and security: apply role-based access controls, audit trails, and follow data protection and privacy standards (HIPAA where applicable).
- Partner with VP of HR, Finance/Accounting, IT, and external vendors/carriers to align requirements and resolve cross-functional issues.
- Provide user training and support for Paycor and BSwift end users and HR team members; escalate complex issues appropriately.
Technical & integration-specific responsibilities
- Design data flows that deliver accurate payroll deductions and employer contributions from BSwift into Paycor and ensure payroll results flow back to finance systems as required.
- Implement and validate file formats and secure delivery methods (SFTP, signed APIs, encryption) for carrier and payroll exchanges.
Required qualifications
- Minimum 3–5 years of progressive payroll administration experience in an enterprise environment, with at least 2 years of direct, hands-on Paycor an BSwift.
- Experience with an API integration.
- Demonstrated, expert-level proficiency in Paycor system administration (configuration, payroll processing, reporting, security).
- Demonstrated, expert-level proficiency in BSwift benefits administration (census management, enrollment configuration, carrier file management).
- Proven experience implementing and supporting integrations between benefits platforms (BSwift) and payroll systems (Paycor), including data mapping and feed troubleshooting.
- Strong practical knowledge of payroll tax rules, wage/tax reporting, deductions, garnishments, and payroll lifecycle.
- Advanced Excel skills (VLOOKUP/XLOOKUP, PivotTables, data cleansing); experience using SQL or similar query tools is highly desirable.
- Experience working with APIs, flat-file formats (CSV/XML/JSON), SFTP, and basic data transformation concepts.
- Exceptional attention to detail, problem-solving skills, and ability to manage multiple deadlines in a fast-paced environment.
Preferred qualifications
- Bachelor’s degree in Accounting, Finance, Human Resources, Information Systems, or related field.
- Certified Payroll Professional (CPP) or similar payroll certification preferred.
- Experience with benefits compliance (COBRA, ACA, ERISA) and familiarity with carrier file specifications.
- Project management experience and familiarity with change management practices.

- Accuracy of payroll-to-benefits reconciliations and reduction of retroactive adjustment volume.
