Role Overview
The Payroll Administrator is a critical member of the team, as they are responsible for the beginning-to-end administration of payroll for a diverse, multi-state employee population. This role is heavily payroll-focused and supports field-based telecommunications operations, where validating hours for mobile crews and processing project-based expenses is essential.
You will assume the role of supporting payroll accuracy and compliance, while providing HR administrative support related to onboarding, employee data maintenance, and employment changes. This role requires strong attention to detail, sound judgment, and the ability to collaborate closely alongside a small payroll and finance team, as well as with project managers and field leadership.
Key Responsibilities
Payroll Administration
- Process bi-weekly payroll for a multi-state workforce, including regular employees and contingent labor
- Review, calculate, and verify hours worked, overtime, tax withholdings, benefit deductions, garnishments, and 401(k) contributions
- Ensure payroll compliance with federal, state, and local wage and hour regulations
- Generate payroll registers, labor cost reports, and payroll-related data to support Finance
- Serve as the primary point of contact for employee payroll inquiries and issue resolution
Time & Attendance Verification
- Collect, review, and audit weekly timesheets from field technicians, project managers, and office staff
- Validate reported hours against project logs, work orders, and field reports
- Investigate and resolve discrepancies in collaboration with regional managers and field supervisors
Expense Review & Processing
- Review approved employee expense reports for reimbursement in accordance with company policies
- Audit receipts and project-related expenses (travel, fuel, lodging, materials) for accuracy and proper coding
- Coordinate with Finance to ensure expenses are allocated correctly within the accounting system
HR & Onboarding Support
- Support new hire onboarding by ensuring completion of required federal and state documentation (I-9, W-4, etc.)
- Set up new employees in payroll and time-tracking systems with accurate department and project assignments
- Maintain employee payroll records and assist with employment status changes (new hires, terminations, pay changes)
Qualifications & Requirements
Experience
- 3–5 years of hands-on payroll administration experience
- Experience supporting multi-state payroll environments required
- Background in telecommunications, construction, staffing, or field-based/project-driven industries preferred
Technical Skills
- Proficiency with major payroll platforms (ADP, Paychex, Ceridian, or similar)
- Experience working with HRIS and timekeeping systems integrated with payroll
- Advanced Microsoft Excel skills, including VLOOKUPs and Pivot Tables
Knowledge
- Strong understanding of multi-state payroll laws, FLSA, wage and hour regulations, and payroll tax requirements
