Payroll AdministratorThe Payroll Processing Administrator is responsible for the accurate and timely processing of payroll for all employees in compliance with federal, state, and local regulations. This role ensures payroll data integrity, maintains employee payroll records, resolves payroll-related issues, and supports audits and reporting requirements. The position requires strong attention to detail, confidentiality, and collaboration with HR and Finance teams.Payroll ProcessingProcess regular and off-cycle payrolls (weekly, biweekly, or semi-monthly) accurately and on timeReview and validate timekeeping data, pay rates, deductions, and adjustments prior to payroll submissionCalculate wages, overtime, bonuses, stipends, retroactive pay, and other earnings as applicableEnsure proper withholding and remittance of payroll taxes, garnishments, and benefit deductionsCompliance & ControlsEnsure compliance with federal, state, and local wage and hour laws and payroll regulationsMaintain accurate records for payroll taxes, filings, and year-end reporting (e.g., W-2s)Support internal and external audits by providing payroll documentation and reconciliationsMaintain confidentiality of payroll and employee information at all timesPayroll AdministrationMaintain and update employee payroll records, including new hires, terminations, pay changes, and deductionsCoordinate with HR on benefits enrollment, changes, and deductions impacting payrollRespond to employee inquiries regarding pay, deductions, taxes, and payroll discrepanciesReconcile payroll registers to the general ledger and assist with monthly and year-end close processesSystems & ReportingMaintain payroll system data and ensure accuracy across integrated systems (HRIS, timekeeping, benefits)Generate payroll reports for management, Finance, and HR as neededIdentify opportunities for process improvements and increased efficiency in payroll operationsQualificationsRequiredAssociate's Degree in Accounting, Finance, Business Administration, or related field (or equivalent experience)24 years of hands-on payroll processing experienceStrong knowledge of payroll regulations, tax withholdings, and wage and hour lawsHigh level of accuracy and attention to detailProficiency with payroll systems and Microsoft ExcelAbility to handle sensitive information with discretion and professionalismPreferredBachelor's Degree in Accounting, Finance, or related fieldExperience with payroll software such as ADP, Paychex, Paylocity, UKG, GUSTO, or similar systemsCertified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC)Experience working in a multi-state payroll environmentFamiliarity with accounting systems and general ledger reconciliationsCore CompetenciesAttention to detail and accuracyConfidentiality and ethical judgmentTime management and deadline-driven workStrong communication and customer service skillsProblem-solving and analytical thinkingAbility to work independently and collaborativelyWork EnvironmentPrimarily office-based; hybrid work schedule may be available after probationary periodMay require additional hours during payroll cycles, month-end, or year-end processingCompensationThe salary range for this position is $70,000 - $85,000, depending on experience.
