Job Summary

The Payroll Coordinator is responsible for the accurate and timely processing of multi-state payroll for a property management organization operating across multiple company codes. This role supports payroll administration for salaried and hourly employees, ensures compliance with federal, state, and local regulations, and works closely with HR, Accounting, and property-level managers. The position is fully in-office and requires strong attention to detail, confidentiality, and collaboration.

Key Responsibilities

  • Assist with processing bi-weekly payroll for multiple company codes (approximately 10 entities)

  • Administer multi-state payroll, including state and local tax compliance

  • Maintain employee payroll records, including new hires, terminations, pay rate changes, and deductions

  • Review and reconcile timesheets, overtime, bonuses, commissions, and special pay items

  • Ensure compliance with federal, state, and local wage and hour laws

  • Coordinate payroll funding, tax payments, and payroll journal entries

  • Reconcile payroll reports and general ledger accounts

  • Respond to employee payroll inquiries in a timely and professional manner

  • Support audits, including internal, external, and payroll tax audits

  • Assist with year-end processing, including W-2 preparation and reconciliation

  • Partner with HR on benefits deductions, garnishments, and leave tracking

  • Maintain confidentiality of payroll and employee data at all times

  • Perform additional payroll or accounting support tasks as assigned

Required Qualifications

  • 25 years of payroll processing experience, preferably in property management or multi-entity environments

  • Hands-on experience with multi-state payroll processing

  • Experience managing multiple company codes or legal entities

  • Strong knowledge of payroll laws, tax regulations, and compliance requirements

  • Proficiency with payroll systems and Excel

  • High attention to detail and strong organizational skills

  • Ability to handle sensitive information with discretion

  • Ability to work effectively in a fast-paced, in-office environment

Preferred Qualifications

  • Experience with property management payroll (hourly, salaried, on-site staff)

  • Knowledge of common payroll systems (e.g., ADP Workforcenow, Enhanced Time)

  • CPP or FPC certification (or progress toward certification)

  • Accounting or HR background

Work Environment

  • Fully in-office position

  • Standard business hours with additional hours during payroll cycles and year-end
