What are we looking for?

We are seeking a highly skilled and experienced Payroll Specialist to join our team. The ideal candidate will have extensive experience with QuickBooks, ADP, and Excel, ensuring the accurate and timely processing of payroll for our organization. This role requires a detail-oriented individual who is comfortable managing multiple payroll systems and has a strong understanding of payroll processing, tax regulations, and compliance.

Compensation: $65,000 - $70,000 annually

Key Responsibilities:

  • Process payroll for employees in a timely and accurate manner, ensuring compliance with company policies and regulatory requirements.
  • Utilize QuickBooks and ADP to manage payroll data, including employee information, timekeeping, bonuses, commissions, and deductions.
  • Maintain employee records in the payroll system, ensuring all personal data, tax information, and payroll changes are up to date.
  • Perform regular payroll audits to ensure accuracy and troubleshoot discrepancies.
  • Prepare and process payroll tax filings, including federal, state, and local taxes, as well as other regulatory filings.
  • Calculate and process employee benefits, deductions, and garnishments.
  • Respond to employee inquiries regarding paychecks, benefits, deductions, and other payroll-related matters.
  • Generate and analyze payroll reports, ensuring timely and accurate submission of payroll data to relevant departments.
  • Reconcile payroll data with general ledger and assist in month-end and year-end closing processes.
  • Stay updated on changes in payroll laws and regulations to ensure compliance with federal, state, and local guidelines.
  • Assist in the preparation of financial statements, budgets, and forecasting as related to payroll costs.

Requirements

  • 3+ years of experience in payroll processing and administration.
  • In-depth experience with QuickBooks, ADP, and advanced Excel functions (VLOOKUP, Pivot Tables, Macros).
  • Strong knowledge of payroll systems, tax regulations, and compliance requirements.
  • Exceptional attention to detail and accuracy.
  • Ability to manage multiple payrolls and tasks in a fast-paced environment.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • High level of confidentiality and integrity.
  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field (preferred but not required).
