Practice Manager - Liverpool, NY Full Time Management position at Liverpool Animal Health Center, Liverpool, NY, US.
The Practice Manager is the financial and operational leader of the hospital. They work with hospital leadership and Community Veterinary Partners to ensure efficient day-to-day operations and successful financial performance. The Practice Manager leads by example to motivate the team to provide an excellent experience for clients and their pets.
Responsibilities
Human Resources
Administrate all human resource functions including staff recruitment, hiring, training, scheduling, performance evaluations, counseling, and terminations.
Manage annual performance evaluations. Responsible for performance evaluations for supervised staff with assistance from the department lead.
Implement and maintain employee safety and disaster plan procedures and manuals.
Assure compliance with OSHA and Workers’ Compensation programs.
Distribute necessary communication materials with staff, including policy changes, meeting discussions, and client feedback.
Mediate personnel grievances, documenting reprimands and counseling meetings.
Operations
Keep CVP management informed of all relevant issues regarding staff, client issues, premises or equipment needs, etc.
Respond to client concerns in a timely and appropriate manner. Resolve medical client complaints in partnership with the Lead Veterinarian and RDO.
Implement marketing activities in partnership with CVP and the Lead Veterinarian.
Ensure premises, physical plant and equipment are safe, clean, and operating optimally, including scheduling regular maintenance.
Assure compliance with regulatory issues including radiation monitoring, business permits and licenses, and animal control ordinances.
Maintain and, when necessary, amend client education handouts.
Oversee inventory purchasing and management within budget guidelines.
Schedule and attend required meetings, including staff and hospital leadership team meetings.
Administer the hospital’s patient reminder system.
Oversee implementation of client wellness programs and guidelines, monitoring compliance in partnership with CVP.
Monitor the hospital email and manage the hospital practice management system.
Marketing
Monitor, implement, and evaluate client communications (e.g., direct mail, signage, social media).
Update the marquee with timely messages.
Lead development of referral relationships with humane societies, pet stores, and related partners.
Attend community functions to build the potential client base.
Participate in yearly budgeting, monthly P&L reviews, and discuss weekly financial reports with the lead doctor; monitor financial progress and adjust to achieve budget goals.
Partner with RDO to submit capital expense requests per CVP guidelines.
Verify accuracy of vendor statements and reconcile invoices.
Prepare the weekly CVP Business Package.
Manage the bi-weekly payroll process and oversee daily cash, checks, and local banking relationships.
Other
The Practice Manager may work scheduled shifts providing client service and/or direct patient care as needed.
Supervisory Responsibilities
The Practice Manager is responsible for managing all hospital team members.
Education & Experience
4+ years of hospital management experience; Emergency/Specialty experience preferred. College degree preferred.
Certifications, Licenses, Registrations
Certification in Veterinary Practice Management preferred.
