Role Summary
The Procurement Manager serves as the primary link between the organization’s supply chain and its financial accounts. Reporting to the CFO, this role is responsible for ensuring that all domestic and global procurement is conducted with the highest level of financial integrity. The Procurement Manager will be responsible for overseeing the procurement processes, ensuring compliance with organizational policies, and maintaining efficient and cost-effective procurement practices.
Key Responsibilities
Planning & Strategy
- Oversee the creation of procurement plans and budgets, including logistics costs.
- Ensure compliance with procurement policies and procedures.
- Develop and implement procurement strategies to meet organizational goals.
- Conduct price negotiation with shortlisted vendors
- Monitor procurement expenses and ensure data accuracy in systems.
- Identify opportunities for greater efficiency and propose solutions.
- Validate procurement performance against organizational standards.
- Ensure timely and cost-effective procurement of goods and services.
- Develop and maintain supplier relationships and negotiate favorable terms
- Maintain accurate procurement records and data for audits.
Financial Account Administration
- Perform monthly reconciliations between procurement commitments to ensure accuracy.
- Maintain a disciplined filing system for all invoices and receipts for review and approval.
- Assist in bookkeeping purchases and itemized breakdowns for vendor payments.
- Utilize and maintain the organizational database to track vendor information and procurement history.
- Draft a plan that includes cost, value, and the time it can take to obtain specific goods and services.
- Propose streamline software and technical specifications
- Serve as the lead correspondent for vendors, ensuring professional and tactful communication.
- Handle all sensitive business contracts and vendor agreements with strict discretion and confidentiality.
- Works closely and coordinate with Accounts Payable
- Assist with Accounts Receivable
- Assist with monthly and yearly financial reporting, fiscal audits

Requirements
- BA/BS Degree in Accounting, Supply Change Management or Business Administration
- 5-7 years in account or procurement management, ideally in a fast-paced non-profit environment.
- Advanced spreadsheet skills and experience with QuickBooks or similar billing systems.
- Exceptional attention to detail and the ability to exercise sound judgment under tight deadlines.
- Strong knowledge of procurement procedures, contract management, and logistics. Demonstrated experience in preparing and monitoring internal procedures for adherence to regulations and policies.
- Excellent organizational and multi-tasking capabilities.
- Strong analytical and decision-making skills.
- Ability to communicate clearly and concisely, both orally and in writing.
