Role Overview
We’re looking for a manager to lead and perform the day-to-day operations of our Production Administration team. This role is essential in ensuring the timely, accurate delivery of client services by overseeing workflow, supervising staff, and driving operational efficiency. The ideal candidate brings experience managing production or project teams in a fast-paced, deadline-driven environment, with a strong focus on process improvement and team development.

Key Responsibilities:
Manage and perform daily operations of the production administration team to ensure timely and accurate support of tax professionals and client deliverables.

Daily Operations consists of:

  • Project & Client Setup/Assign/Re-assign projects.
  • Print & Assemble of tax forms.
  • Deliver Returns.
  • Retrieve of documents.
  • Client Inquiries.
  • Prepare and Analyze Reports.

Manage hiring, onboarding, scheduling, training, and performance evaluations for administrative staff.
• Monitor team productivity and workflow to meet deadlines, optimize efficiency, and maintain high-quality standards.
• Develop and implement policies and procedures to streamline operations and ensure compliance with firm protocols and regulatory standards.
• Collaborate with leadership, IT, client service, and compliance teams to support smooth operational processes.
• Conduct regular team meetings, provide coaching and feedback, and foster a positive, high-performing work culture.
• Lead training initiatives and continuous improvement projects to enhance team capabilities and workflow effectiveness.
• Track and report key performance indicators (KPIs) related to efficiency, accuracy, and employee engagement.

Qualifications:
5+ years of administrative or operational management experience, preferably in a tax, accounting, or professional services firm.
• Strong leadership skills with experience supervising and developing administrative staff.
• Excellent organizational, communication, and problem-solving skills.
• Proficient in Microsoft Office Suite; experience with tax workflow software or document management systems a plus.
• Knowledge of compliance requirements relevant to professional services or financial firms.
