POSITION SUMMARY
The Program Administration Specialist (PAS) supports the implementation and day-to-day execution of CSAAC’s Service Documentation Policy. This role is responsible for ensuring accurate, timely, and complete program documentation in support of regulatory compliance, funding integrity, and operational effectiveness.
The PAS works under the direction of the Program Administration Manager and collaborates with Program Directors, Quality Assurance, Finance, and clinical teams to maintain high documentation standards across all assigned programs.
QUALIFICATIONS
Education: High School diploma required. Bachelor’s degree in Healthcare Administration, Public Administration, Human Services, or related field preferred.
Experience: Minimum three to five years of experience in healthcare, behavioral health, or developmental disabilities services. Hands-on experience with service documentation, audits, or compliance monitoring. Familiarity with Person-Centered Planning processes and service authorization documentation.
Skills: Strong attention to detail and organizational skills. Working knowledge of DDA and COMAR documentation requirements. Ability to follow established documentation workflows and escalate issues appropriately. Proficiency with electronic health record systems (training in CIMS provided as needed). Strong written and verbal communication skills. Proficiency in Microsoft Office Suite
NATURE AND SCOPE
•Prepares, reviews, and tracks Person-Centered Plan (PCP) documentation for completeness and accuracy.
•Supports coordination of PCP meetings and follow-up documentation.
•Monitor required documentation, including:
Service notes
Behavioral and ABC data
Incident reports
Nursing care plans
MARs and sleep tracking logs
•Conduct routine documentation reviews and audits. Identify missing, inconsistent, or late documentation and follow up with program staff.
•Maintain tracking logs and compliance dashboards.
•Assist with staff training on documentation standards and system use.
•Collaborate with Program Directors and QA staff to resolve documentation issues.
•Support preparation of reports for management and leadership review.
