WELBRO Building Corporation has a career opportunity for a Project Administrator or Project Coordinator in the Orlando area. The opportunity is based out of our Maitland corporate office supporting multiple projects teams. The individual will be responsible for providing administrative and document control support, using the project management software, to the active project team(s) in organizing and expediting appropriate information among client, A/E, and project team. May be assigned responsibility for specific aspects of a job including supporting the submittal coordination and RFI tracking process. Local candidates preferred.

Key Duties

  • Provide word processing support in creating contract documents, subcontracts, purchase orders, correspondence, transmittals and memos; issue change order documents.
  • Establish and maintain filing systems; distribute documents and files to stakeholders and accounting department.
  • Provide support to Project Manager in creating and maintaining cost events and change orders. File and distribute documentation related to changes.
  • Utilize project management software to create transmittals, correspondence, and meeting minutes; assign subcontractors, vendors, and others to the project database and keep up to date.
  • When necessary, maintain DPO & O.C.I.P and all other contractual reporting requirements files & logs to meet project & reporting requirements
  • Act as liaison between all stakeholders, departments, and clients in arranging meetings and resolving issues.
  • Maintain days payable outstanding, insurance documents, and all other contractual reporting requirements, files, and logs. Assist in Owner Direct Purchase Program.
  • Support PE in the distribution of submittals and the tracking, coordination, and distribution of civil, architectural, structural and MEP submittals and shop drawings
  • Coordinate with Assistant Project Manager or Sr. Project Manager and generate Closeout Documents as the project progresses; turn over documents to Owner at project completion.

Qualifications

  • High school diploma required; 2-year degree preferred
  • Minimum 5 years of administrative experience; 2 years in construction industry required; a role as a Project Coordinator, Project Administrator or similar is preferred
  • Experience working for a commercial general contractor is preferred
  • Excellent verbal and written communication skills
  • Advanced Microsoft Office skills
  • Project management software knowledge; BIM360 experience a plus; Bluebeam experience a plus
  • Physical demands include occasionally lifting up to 15 lbs
  • Local candidate preferred
