We are a Privately-Owned Solar Engineering Services firm, focusing exclusively on the development of industry-leading solutions. We develop, design, and sell new products that are highly efficient and custom installation solutions that enhance the overall adoption of solar. Our dynamic and growing company needs a motivated Project Coordinator to provide support analytically to our growing sales offering needs. We operate a fast-paced and informal office, which also includes a supportive growth atmosphere. As one of the Project Coordinators on staff, you’ll wear many hats and be actively involved with many aspects of our business. Our Project Coordinators are the conduit to customers, managing incoming and outgoing communications and critical details for the project's lifecycle.


Job Responsibilities:

  • Acknowledge and respond to customer inquiries and RFQs promptly, providing clear, professional, and timely communication throughout the project lifecycle.
  • Enter accurate and complete customer/project information into Microsoft Dynamics (CRM), ensuring required fields are filled, data is validated, and records are maintained without gaps or inconsistencies.
  • Seek clarification whenever customer inputs, documents, or requests are unclear, and proactively coordinate with Sales, Engineering, or Technical Support to avoid incorrect assumptions.
  • Create, review, and analyze customer project proposals, ensuring all required inputs are present before processing and routing internally.
  • Reconcile customer Purchase Orders with Order Confirmations, identifying discrepancies and ensuring all contractual information is aligned.
  • Coordinate cross-functionally with internal teams (Sales, Technical Sales Support, Engineering, Operations) and external partners to resolve technical questions and obtain missing project information.
  • Track and maintain all active sales pipeline projects, ensuring CRM stages, dates, and next steps are updated in real time.
  • Monitor and follow up on missing or incomplete information, escalating to appropriate teams when customer responsiveness, design details, or timelines become at risk.
  • Maintain organized and accurate documentation, including proposals, updates, revision histories, and correspondence logs.
  • Manage incoming calls and emails, and ensure all communications are logged and handled with professionalism and urgency.
  • Demonstrate strong attention to detail, time management, and accountability while balancing multiple priorities in a fast-paced environment.


Required Qualifications:

  • Associate degree preferred
  • 2 years or more experience in a fast-paced customer centric role, administrative role, or sales support role
  • Solar and/or construction industry experience is preferred
  • Detail oriented, energetic, self-driven, highly motivated, personable, and collaborative
  • Must be able to prioritize competing demands
  • Professional acumen, problem solving skills, strong organizational skills, and adaptability in a fast-paced environment
  • Strong written and verbal communication skills
  • Competency in Microsoft Office Suite
