Job Description
The purpose of this position is to manage projects from the hand-off from the sales team to job completion. The key objective is to create a trusted partnership with our client and provide world-class service. The Project coordinator will oversee several active projects/week in multiple locations and will be responsible for planning/preparing projects for future weeks. The Project coordinator will be self-motivated, direct fast-moving teams and enjoy the camaraderie of a rapidly growing company. This position will take full ownership of his/her assigned projects to ensure projects are completed in a timely fashion, within the allocated budget and meet client expectations. The Project coordinator is pivotal in the success of our public image and as well as responsible for coordinating the delivery of our services.
Duties:.
- Plans and schedules onsite project implementations and service-related scopes of work with customers and internal stakeholders.
- Strong business ethics, integrity and ability to perform in a highly autonomous environment. Dependable, reliable and time sensitive.
- Effectively coordinates manages projects from sales team hand-off to completion while tracking and optimizing scheduling, labor, subcontractors, budgeting, materials costs, communications and job quality. Performs all contracted scopes per company policies and procedures.
- Interfaces directly with clients to define project requirements provided by customer / sales team. Prepares scope of work, project delivery resource requirements, work plan schedule, milestones and quality control.
- Leads project delivery resources/team providing project guidance and direction to achieve project goals. Ensures all work is properly subcontracted. Manages subcontractors. Monitors work throughout the project. Drives safety, quality and productivity in the field.
- Implements project documentation governance aligned with company and client requirements. Ensures project data integrity and documentation is accurate, timely and coordinated.
- Implements communication plan to keep client and project resources informed. Ensures the highest level of client communication and client service.
- Tracks progress of each project against goals, objectives, approved budgets and approved timelines. Reports status and variances. Creates plans to meet objectives, budget and schedule.
- Implements change management routines to access change requests, make recommendations, secure client approvals and issue change orders. Assesses change requests to determine impacts to scope, budget, schedule and quality.
- Demonstrates ability to identify project risks, develop risk mitigation and contingency plans and implements action plans to reduce or eliminate project risks.
- Other duties as required.
- Performs kick-off meetings on large-scale projects with all key stakeholders involved.
- Travels as needed to customer sites for large project kick-offs and demonstrates first class client interaction.
- Provides prompt responses to customer warranty needs, liaising with the sales department, engineering and the operations groups.
- Execute the performance management process which includes objective setting, personal career development goals and reviews. Conducts one on one meetings on a regular basis.
- Plans and manages resource schedules to ensure daily project goals are met.
- Reviews RFPs and supports the internal proposal team on bid submissions.
- Assists the sales team in large project presentations from a project implementation perspective.
- Ensucres effective, Professional client communications.
- Minimal Travel required.
Required Skills:
- Prior experience in field service, subcontracting or similar industry preferred
- English required
- 5 years customer service experience required
- Experience in managing complex projects
- Ability to read, understand and apply standards to moderately complex documents including but not limited to agreements/contracts, forms, process flows and reports
- Excellent written and verbal communication skills
- Strong organizational and analytical skills
- Responsive to incoming communications in a timely manner
- Ability to provide efficient, reliable and courteous service to clients
- Ability to effectively present information
- Skilled in managing difficult situations and solving problems
- Problem solving skills including corrective action planning.
- Excellent computer skills in Microsoft Suite.
- Pre-employment drug and alcohol screening.

Preferred Skills:
- Experience with electronic components including camera systems, hard drives, computers and wireless technology
- Basic understanding of Networking concepts.
- Experience working with multiple discipline projects.
Education:
- Bachelor of Business or Science degree preferred. 5-10 years experience with advance knowledge, obtainable usually through a combination of experience and continuing education; or Equivalent combination of education, training and experience
- IT Training
- Project Management (PMP) Certified, a plus
