Schmidt, Inc. is seeking a highly organized and detail-driven Project Coordinator to support our growing commercial, industrial, and government landscaping and hardscaping operations. This is a key office-based role that ensures projects move smoothly from award through closeout by managing documentation, purchasing coordination, billing, reporting, and communication across internal teams and clients. At CRS, your voice matters, your growth matters, and your work directly impacts the success of every project. Responsibilities Prepare and manage submittals, including product data and shop drawings. Coordinate purchasing by submitting orders, tracking changes, and working closely with field superintendents. Complete project job setup and ensure accurate dissemination of project information to internal teams and clients. Maintain organized and up-to-date project documentation. Assist with reporting functions including WIP reports, job costing reports, and general project reporting. Obtain required insurance certificates, bonds, and city licenses. Establish and manage Schedule of Values (SOV). Submit client billing through various platforms including manual submission, Textura, Procore, and similar systems. Support budget tracking through estimated vs. actual cost reviews. Collaborate with project managers, accounting, and field teams to ensure smooth project execution. Maintain compliance with union and government documentation requirements when applicable. Qualifications Minimum 5 years of experience in a construction project coordination, project administration, or similar role (site work experience highly preferred). High School Diploma or GED required. Experience preparing and managing submittals and shop drawings. Strong understanding of purchasing processes within construction projects. Experience with job costing and reviewing estimated vs. actual budgets. Experience establishing and managing Schedule of Values (SOV). Familiarity with billing platforms such as Textura, Procore, or similar systems. Strong organizational skills and high attention to detail. Ability to manage multiple projects and deadlines simultaneously. Strong communication skills and ability to coordinate across departments. Bilingual (Spanish) is a plus but not required.
