Summary: The Project Management Specialist is responsible for managing new projects in both business development and operational portfolios from inception to completion. This role collaborates cross functionally with Sales, R&D, Quality Assurance, Quality Control, Regulatory Affairs, Finance, Sourcing, Production, and Supply Chain. Essential Duties and Responsibilities:Creates and manages new project plans, aligns scope, agendas/notes, and milestone trackers by using MS office, MS teams, and SharePoint, PLM (product lifecycle management), PPM (Project Portfolio Management) toolsMonitors all open projects on a weekly basis Maintains a status tracker that outlines on time vs delay of project tasks and reasons for delaysEnsures teams adherence to project timelines and tasks Facilitates weekly or bi-weekly meetings with all key SMEs in cross functional departments Coordinates ad hoc meetings with key team members if required to help support resolution on challenges that arise for projects Promotes cross functional team collaboration to resolve issues Regularly utilizes independent judgment to resolve issues, escalates any complex challenges to the Project Manager.Identifies project risks and bottlenecks, proactively develops solutions to keep projects on trackMonitors requests through initiation, departmental approvals, customer approvals, and implementation for the following documents or change control requests (Finished Product Specifications, Product Description, Master Formula, Contract Manufacturing Specifications, Master Batch Records, and Request for Change). Assists with assignments of Purchase Orders or Letters of Intent to correct Customer Service lead for any new products. Tracks processing development of the Purchase Orders or Letters of Intent to ensure new projects continue moving through the new product development stages. Serves as a back-up to customer service department with creating new product quotes in ERP (Syspro) system, and set-up for new customers or new vendors for new products. Qualifications:Proficient in MS (word, outlook, excel, power point, one note), SharePoint, MS teams, Agile, Oracle, PLM, Smartsheet, Waterfall, SCRUM, BI, etc. Exceptional at prioritization and driving programs / projects that fall but not limited to (new products, reformulations, supplier movements, turnkey) Promote and ensure best practices across all projects Excellent communication both (written and verbal)Highly organized and self-motivated Ability to interact effectively at all levels and escalate risks and challengesThrives when working under pressure Education/Experience: Bachelor’s degree in science required; health sciences (i.e. Biology, Chemistry, Nutrition, Food Science, Pharmacy), or other related disciplines preferred. 2 - 5 years’ project manager experience, with relevant work experience in the dietary supplement, food, over-the-counter (OTC), and/or pharmaceutical industry. Work Environment:The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is occasionally exposed to work near moving mechanical parts; fumes or airborne particles and risk of electrical shock.The noise level in the work environment is usually moderate.
