We are looking for a Project Support Specialist to join our Field Service Operations team. This role provides essential administrative, logistical, and coordination support to ensure projects run smoothly from start to finish. The Project Support Specialist ensures that materials, schedules, quotes, workflows, and system updates are all alignedpreventing delays and helping projects move toward successful completion. This role also directly supports SONIFI's broader operational efficiency by maintaining key systems, ensuring inventory accuracy, enabling capitalization processes, and strengthening cross-team communication. Your work helps ensure that every projectwhether a deployment, de-installation, upgrade, or service eventmoves forward with clarity and precision.What You'll DoAccurately enter, update, and maintain project data within systems such as Salesforce, NetSuite, and FieldwireAssist with user acceptance testing (UAT) for internal applicationsGenerate contracts in Salesforce and create project numbers for newly approved workSupport the timely closure of projects to enable capitalization workflowsCreate sales orders and requisitions as neededManage Fieldwire projects, monitor Salesforce dashboards, assign tasks, and archive completed workMaintain CRM case and work order data for Field OperationsMaintain the small tool and test equipment inventory database, including replenishment, assignment, and returnsProcess inventory transactions for incoming/outgoing shipments and research/resolve transaction errorsGenerate customer quotes and process replenishment ordersManage RMA orders through their complete lifecyclePerform additional data entry and updates as assignedCoordinate activities across Field Service, TAC/GIA, Implementations, Content, Accounting, Warehouse, Sales, and Customer SuccessRespond promptly to internal and external customer inquiries and requestsSupport onboarding and administrative processes for Field Service new hiresMaintain detailed, organized documentation for all assigned responsibilitiesProvide recommendations for improvements to procedures, forms, processes, and policiesSchedule, coordinate, and support iTV, FTG, and GIA de-installation processesMaintain positive relationships and help achieve departmental and company goalsAdhere to all company and departmental policies and proceduresPerform other duties and projects as assignedWhat You'll NeedAAS degree and 3+ years of related experience, preferably in a technical or operational environment; or an equivalent combination of education and experienceStrong technical aptitude and ability to learn new systems quicklyProficiency in Microsoft Office (Excel, Word, Outlook, Teams)Excellent communication and customer service skillsAbility to adapt quickly, prioritize effectively, and manage shifting demands throughout the dayStrong attention to detail, organizational skills, and sound judgmentAbility to work both independently and collaborativelyTogether, we can build your future!
