Overview The Office of the President seeks a highly organized, professional, and personable Office Assistant to provide exceptional administrative and event support in a dynamic, fast-paced environment. This individual will serve as a welcoming presence in the President’s Suite, provide support to the President, Chief of Staff, and VP for Finance and Administrative Services, and deliver exceptional service to all who interact with the office. The successful candidate will be dependable and proactive—someone who can manage multiple priorities while creating a welcoming and polished office environment that reflects the college’s values of excellence and care. The role requires impeccable attention to detail, creativity in presenting events and materials, and the ability to anticipate needs and manage complex tasks with discretion and grace. Required Proven experience in office administration or executive support Strong organizational skills with a keen eye for detail Demonstrated ability to handle confidential information with discretion Ability to manage multiple tasks and priorities effectively Proficiency in Microsoft Word, Excel, and other office applications Exceptional customer service and interpersonal communication skills Exceptional writing and proofreading skills Pleasant and professional demeanor, with the ability to convey warmth Ability to work independently while contributing to a collaborative team environment Associate degree or equivalent professional experience Preferred Experience supporting executive leadership or managing complex calendars At least one year of experience in writing, editing, or event coordination Demonstrated creativity in presentation Knowledge, Skills, and Abilities Ability to represent the Office of the President with professionalism, discretion, and integrity Exceptional organizational, time-management, and communication skills Strong attention to detail and accuracy in all work Positive attitude, strong work ethic, and commitment to excellence in service Attributes of a Successful Candidate Warm and approachable, with a natural sense of hospitality Composed and professional under pressure Creative and detail-oriented in managing both routine and special projects Motivated by excellence and pride in representing the college’s leadership Essential Functions Serve as the first point of contact for the Office of the President, providing outstanding customer service to faculty, staff, students, and guests in person, by phone, and via email Coordinate and manage complex executive calendars, schedule meetings, anticipate logistical needs, and assist with meeting preparation and follow-up Support general office management and ensure the President’s Suite operates efficiently and professionally Track expenditures, process invoices, reconcile p-cards, and make travel arrangements Assist in maintaining and updating the Office of the President’s webpage and official communications Provide creative and logistical support for college-wide and presidential events, ensuring high standards of presentation and hospitality Assist with the preparation of correspondence, reports, and presentations Track and maintain office information, documents, and reports in compliance with college policies Represent the President’s Office with discretion, confidentiality, and courtesy in all interactions Handle sensitive information with discretion and professionalism Perform additional duties as assigned to support the executive team This position is located in the President’s Suite on the Ephraim Campus and reports to the Chief of Staff. Regular office hours are required, with occasional flexibility for events or special assignments. Applications received by 11:59 PM on February 12, 2026, will be eligible for review by the hiring committee. Applications received after that date may not be reviewed by the hiring committee unless deemed appropriate by the college administration.
