In House Only Applicants (Tribal Members and Employees currently working within a Kickapoo Entity) Position: Reception File Clerk Supervisor: Tribal Court Administrator Division: Legal Department: Tribal Court Responsibilities Perform a variety of office support clerical and receptionist duties that contribute to efficient daily operations of Tribal Court; greet visitors and direct them to the appropriate destination, answering phones, file documents, coordinate with court staff for essential court duties. Essential Duties and responsibilities include the following: Professionally welcome and direct individuals entering the courthouse, verify appointments and check identification. Respond to inquiries from the public, attorneys, and other court staff, accurately take messages and routing calls to the appropriate parties. Assist the Tribal Court staff to facilitate the communication between parties. Provide basic information about court procedures, case status updates, and direct individuals to relevant courtrooms. Receive and distribute legal documents, maintain court records, and file paperwork as needed. Input file details into a computer system for tracking and retrieval. Maintain confidentiality by protecting sensitive information within files by following security protocols. Make copies of files as needed and delivering them to relevant parties. Ensure the cleanliness and organization of the front desk area, including managing visitor flow. Localize and retrieve requested documents promptly. Adhere to all court policies and procedures regarding security, confidentiality, and proper decorum. Perform other work related duties as assigned by immediate supervisor. Knowledge, skills and abilities for the position Excellent verbal and written communication skills. Excellent grammatical and spelling skills. Proficient on Microsoft Office. Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow. Ability to work independently and as a member of various teams and committees. Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm. Acute attention to detail. Ability to perform diversified clerical functions and basic accounting procedures. Ability to effectively communicate with people at all levels and from various backgrounds. Mathematics: Ability to perform simple arithmetic for time-keeping and other calculations. Language & Communication: Ability to read, write, speak and understand English, and communicate effectively with others. Bilingual in English and Spanish Ability to understand and follow written and verbal direction. Attention to detail and accuracy. Ability to manage and maintain security of confidential data and information. Ability to exercise independent and sound judgment. Cultural awareness of and sensitivity to Kickapoo traditions, religious beliefs and way of life. Supervision exercised This position does not carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Education/experience requirements Minimum Qualifications: High school diploma/GED with equivalent work experience. One (1)-three (3) years related experience. Knowledge of basic office and administrative software such as MS office. Preferred Qualifications: An associate or bachelor’s degree in a relevant field is preferred. Native American preference is observed KTTT recognizes preference for KTTT tribal members and qualified Native American tribal members including preferential treatment in recruitment, hiring, promotions, layoffs and reductions in force so long as they meet minimum job qualifications.
