Job Summary:
Beefmaster Breeders United is seeking a detail-oriented and personable Receptionist and Data Entry Specialist to serve as the first point of contact for our organization while providing critical administrative and data management support. This dual-role position requires excellent communication skills, strong organizational abilities, and proficiency in data entry to maintain accurate records for our members, cattle registrations, and breeding programs. The ideal candidate will thrive in a fast-paced environment, embody a customer-focused attitude, and contribute to the smooth operation of our office.
Key Responsibilities:
Receptionist Duties:
- Greet visitors, members, and clients in a professional and welcoming manner.
- Answer and direct incoming phone calls, emails, and inquiries promptly and courteously.
- Manage the front desk, including scheduling appointments, coordinating mail, and maintaining a tidy reception area.
- Assist with basic administrative tasks such as filing, copying, and preparing correspondence.
- Provide information to callers or visitors about Beefmaster Breeders United programs, membership, and events.
Data Entry Specialist Duties:
- Input and update cattle registration data, member information, and breeding records into the company database with a high level of accuracy.
- Verify and cross-check data entries to ensure consistency and compliance with organizational standards.
- Assist in maintaining digital and physical filing systems for easy retrieval of records.
- Collaborate with team members to resolve discrepancies in data and improve database efficiency.
Qualifications:
- High school diploma or equivalent required; additional education or certification in office administration or data management is a plus.
- Minimum of 1-2 years of experience in a receptionist, administrative, or data entry role (experience in agriculture or livestock industries preferred but not required).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database management software.
- Excellent verbal and written communication skills.
- Strong attention to detail and ability to multitask effectively.
- Friendly, professional demeanor with a customer-service mindset.
- Ability to handle sensitive information with confidentiality and discretion.
- Knowledge of or interest in the beef cattle industry is an advantage.
Physical Requirements:
- Ability to sit for extended periods while performing data entry tasks.
- Occasional lifting of office supplies or files up to 20 pounds.
