Job Title: Research Facilities Data Coordinator

Job Summary:


The Research Facilities Data Coordinator position represents an opportunity to facilitate the analysis of facilities availability and eligibility, primarily wet lab-focused assets, based on specific subsets of research data. The Research Facilities Data Coordinator position will support the Research Affairs team, including operations within Planning & Facilities and The Clubs, and others, as a member of the Research Affairs team, within The School of Medicine Deans Office. The position will focus on analyzing and utilizing pre-curated data from a variety of sources and systems including, but not limited to PeopleSoft Finance, PeopleSoft Human Capital Management (HCM), InfoEd, Archibus, Webspace, and others, via varying presentation platforms, including, but not limited to PowerBI, Tableau, Excel, and others as appropriate to analyze space-related data and create data visualizations. The insights gathered from the analysis of the visualizations will inform space planning and allocation for School of Medicine occupied spaces. This position will also respond to data requests relevant to space-related projects overseen by Research Affairs, under the direction of the Director, Planning and Facilities.

Additional responsibilities include the provision of operational and administrative cross-coverage support for The Clubs, under the direction of The Clubs IT/Operations Manager. The Clubs, serve as the envy of many resource-constrained schools of medicine across the country, and currently include The University of Colorado School of Medicines progressive, resource-optimized alternative workspace concept, with locations in the heart of the Anschutz Medical Campus, within the Academic Office 1 and The Anschutz Health Sciences Building. These 24-by-7 badge-accessed, modern, and technologically innovative faculty and staff-focused work environments offer reservable workspaces, telehealth offices, teleconferencing spaces, day-use lockers, cable television, sleep pods, soft seating, Wi-Fi connectivity, concierge service, IT support, and more to meet the needs of busy faculty and staff. While The Clubs, are currently, primarily intended for clinical faculty and informatics faculty and staff teams who have opted for convenience and comfort, as opposed to traditional officing, the SOM Planning and Facilities team is constantly evaluating opportunities for space optimization, meeting the ever-changing work environment expectations and needs of School of Medicine faculty and those that support them.

Key Responsibilities:

  • Respond to requests for information by coordinating, analyzing, and interpreting data. This work may include identifying new or enhanced data platforms or programs to better disseminate findings.
  • Prepare multimodal presentations describing findings, simulating scenarios and proposing solutions.
  • Create and maintain Smartsheet datasets and workflows.
  • Create data visualizations using Power BI or Tableau. These data visualizations will be used for strategic space planning and the implementation of space planning initiatives.
  • Present quantitative and qualitative data relevant to the Schools key mission areas and assist in interpreting and using the data to influence changes to space-related operations and/or processes.
  • Participate in new and established cross-functional space data initiatives to support process improvements, strategic initiatives, and policy reviews.
  • Aggregate data from a variety of systems, where standardized policies or procedures may or may not exist, and make recommendations for data collection and maintenance best practices.
  • Liaise with other school and campus units on behalf of Research Affairs, working collaboratively to develop sustainable systems, mechanisms, and procedures for tracking data toward strategic space goals.
  • Assist with utilization management for The Clubs, including data collection, analysis, and trends.
  • Assist with operational duties for The Clubs, including special projects and member support.
  • Act as a resource for concierge operations and occasionally provide concierge cross coverage for The Clubs.

Work Location:


Hybrid this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Minimum Qualifications:

  • A bachelors degree in a relevant subject area, such as Computer Science, Information Technology, Business Administration, Public Health Science, or Data Science, or a directly related field from an accredited institution.
    • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelors degree on a year-for-year basis.
  • At least one (1) year of relevant experience summarizing and developing reports using data analytics software and designing data visualizations in a complex environment with multiple data sets.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Current or prior work experience at the University of Colorado.
  • Experience with large data sets.
  • 2+ years of relevant experience designing and developing reports and visualizations in a complex environment with multiple data sets.
  • Experience with Smartsheet and EMS.
  • Proficiency in Microsoft Office Suite, including Excel.
  • Experience creating data visualizations in Power BI and/or Tableau.
  • Experience with best practices for data integrity, data management, analysis, visualization, and security.

Knowledge, Skills, and Abilities:

  • Ability to evaluate processes and policies, and exercise good judgment in the interpretation and application of policies and procedures.
  • Demonstrate organizational skills with the ability to prioritize and multitask.
