Job Summary:

Through our Records Management Center we are able to satisfy hundreds of requests per month. This highly productive, fast paced records management team has an exciting opportunity available where our ultimate agency mission is protecting and enhancing human health and the environment.

This position may be available for remote work within Arizona (2-3 days per week in the office/hoteling).

The State of Arizona strives for a work culture that affords employees flexibility, autonomy, and trust. Across our many agencies, boards, and commissions, many State employees participate in the States Remote Work Program and are able to work remotely in their homes, in offices, and in hoteling spaces. All work, including remote work, should be performed within Arizona unless an exception is properly authorized in advance.

Job Duties:

  • Performs redactions of records in accordance with ADEQ policies and procedure in accordance with any applicable statutes, rules, case law and/or Attorney Generals Office guidance.
  • Performs records research and analysis.
  • Facilitates records coordination for fulfilment of records requests.
  • Conducts email responsive records request searches using Google Vault.
  • Assists with the storage of records in compliance with any and all applicable records retention policies.
  • May be crossed trained to assist front desk in-person record requests or review of records.
  • Compile and coordinate records for public inspection.
  • Based on business needs, this position may function as a redaction and/or email coordinator.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:


  • State records management; methods and techniques of maintaining records in a controlled environment; principles and practices, policies and procedures of records retention; practices and procedures of records management system;
  • Arizona Revised Statutes pertaining to confidentiality to the area of assignment
  • Redaction procedures and associated software
  • Processing request for information from public, media, court etc.


Skilled in:


  • Handling routine operations; communicating effectively both orally and in writing, to groups and individuals; using computer systems with various software; organization methods; maintaining attention to detail; managing interpersonal relationships.
  • Written and verbal communication
  • Problem identification, analysis and resolution, including recommending a course of action regarding a wide variety of data from various computer sources and troubleshooting difficulties
  • Conflict management

  • Using computer hardware and software including Microsoft Office (Word, Outlook, and Excel etc.)

  • Learn the departments' specialized systems (e.g. Azurite, Mongo, SharePoint) to research record availability
  • Apply statute and policy to varying types of records requests
  • Review records requests to ensure validity
  • Redact documents using available software
  • Accurately track requests
  • Maintain the strictest confidentiality
