Large GC looking for a Risk Management Administrator to join our growing team.


Primary Responsibilities:


Insurance & Claims Administration

    • Assist with the intake and notification of insurance claims, including providing initial notice to insurance carriers under direction.
    • Maintain and track insurance claims, incidents, and construction-related matters.
    • Organize and manage claim-related documentation, including basic document collection and production.
    • Serve as a point of coordination between internal teams and external counsel or insurance representatives.

Project Due Diligence Support

    • Provide administrative support for project due diligence documentation, including AIA forms and related attachments.
    • Assist with sponsor review documentation (limited and full), ensuring completeness and proper organization.
    • Support EO50 submissions and related documentation, including PAC tracking.
    • Assist with eviction-related documentation tracking and filings, as applicable.
    • Support NYCHA pre-qualification processes by gathering, organizing, and submitting required materials.

Closing & Document Administration

    • Coordinate administrative aspects of project closings, including bonds and insurance documentation.
    • Collect, track, and organize Certificates of Insurance (COIs) and endorsements.
    • Assist with obtaining signatures, transmitting documents, and maintaining complete closing files.
    • Maintain organized digital and physical document repositories.

Insurance Compliance Support

    • Assist with the review and tracking of subcontractor insurance policies for compliance with contractual requirements.
    • Monitor COIs, workers’ compensation coverage, and renewal dates.
    • Coordinate corrections or updates to insurance policies in collaboration with brokers and vendors.
    • Support insurance renewals and policy administration, including practice policies.
    • Assist with NYCHA insurance compliance reviews.
    • Track and document insurance requirements for projects and vendors.

General Administrative Support

    • Provide administrative assistance to Project Managers and other departments as needed.
    • Assist with the preparation and tracking of standard forms, letters, agreements, and retainage-related documentation.
    • Support risk management, compliance, and insurance-related initiatives as assigned.
    • Ad-hoc projects, as assigned

 

Skills/Qualifications:

  • Associate’s or Bachelor’s degree preferred; equivalent experience considered.
  • Prior experience in construction, affordable housing, insurance administration, compliance, or risk management preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple tasks and prioritize competing deadlines.
  • Proficient in Microsoft Office and document management systems; experience with Timberline a plus.
  • Sound judgment with the ability to escalate issues appropriately.
  • Ability to work independently as well as collaboratively with cross-functional teams.
  • Strong administrative, follow-up, and customer service skills.
  • Comfortable working in a fast-paced, deadline-driven environment.
  • Reliable, self-motivated, and proactive.
